About the Job
The Production Coordinator I assists in the day-to-day operations of production content, logistics and business operations to support the Andscape division of ESPN.
Responsibilities:
Acts as liaison for assigned sport/show categories between Production, other ESPN departments, and outside entities.
Responsible for dealing with time-sensitive materials and decisions.
Facilitate contractual agreements alongside production needs (i.e., Master Services Agreements, Third Party Licensing Agreements, Deal Memos, assist leaders with Talent contracts, etc.)
Trusted to draft third-party licensing agreements for video and photography clearances, performance contracts for voiceover, and on-camera talent agreements using Legally approved templates.
Gather and curate production information on all features to track content and report information on pertinent details to relevant internal groups, such as rights and clearances.
Work alongside Managing Producers, Coordinating Producers, and departmental VP to ensure compliance with internal policies related to feature and creative productions.
Coordinate insurance and contractual compliance for third-party vendors along with Disney Risk Management and Legal standards
Develop workflows to create efficiencies in a fast-paced, remote-hybrid production environment
Coordinate logistics for on-location shoots such as insurance, props, waivers, permits, releases, production schedules, wardrobe, and other details, all compliant with Disney health and safety guidelines.
Organize, project, and track budgets for projects of varying scale (single feature or tease project to full documentary series)
Responsible for the handling and relaying of sensitive or confidential information (budgetary, fee-related, non-disclosure agreements, etc.).
Facilitate onboarding of third-party vendors to ensure they are active in the system and able to work for Disney.
Schedule approved third-party vendors in Playbook to track work history and confirm payment.
Submit invoices and track correspondence related to budgets
Act as a liaison for drone approvals, making sure all requirements are met while working with the Drone team.
Responsible for organizing and facilitating team meetings, creative think tanks, and story-pitch meetings.
During Production peak times, remains accessible and is often required to work non-traditional days/hours.
Participates in the recruiting, selecting and scheduling of Content Associates and Production Assistants as needed, for specific production groups and sport categories/show units.
Responsible for all personnel schedule accounting, including tracking hours & the vacation approval process.
Help train new hires on Production departmental processes and procedures.
Provides objective feedback on performance to staff and remote personnel and shares feedback as required.
Plans, requests, and allocates production facility needs for assigned sports/shows/ projects.
Works with production teams to ensure assigned productions meet established network creative and technical specifications, business objectives, and financial goals.
Work is reviewed from a short-to-mid-term perspective and against defined Production objectives, budgets, and schedules.
Traveling for productions (domestic and international) may be required.
Basic Qualifications:
A minimum of 2 years of production and/or operations experience.
Must possess strong organizational skills (i.e., budgeting time and prioritizing workload, accuracy and attention to detail in all tasks, ability to implement systematic processes and organize information flow).
Must understand the value of synergy in a dynamic organization.
Must possess strong communication skills (i.e., clear and concise in all forms of communication, ability to handle high-volume email and phone traffic, as well as in-person interactions).
Has demonstrated the ability to react quickly and positively under a wide variety of sensitive production situations that arise and are subject to continual change.
Demonstrates ability to take initiative; suggests ideas and solutions to problems that arise or before they occur. Must be a natural problem solver.
Has basic experience in various aspects of production management (i.e., processing contracts and invoices, creating, maintaining, and distributing production information, travel management, and production personnel scheduling/staffing).
Possesses basic understanding of the production of studio shows, remote events and/or packaged shows, as well as short-form and long-form in-program features.
Has knowledge of the operational and logistical aspects of production planning.
Has some financial management experience.
Advanced knowledge of Microsoft Office programs (i.e. Office 365, Outlook, Excel, Word, One Note, and PowerPoint).

The hiring range for this position in New York, NY, is $55,842 to $82,390 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
