THE ROLE
The Production Coordinator is a highly organized and detail-oriented professional who plays a critical role in supporting production operations. Reporting to the Production Director, this role ensures the smooth execution of special orders, gemstone management, and administrative processes while maintaining exceptional customer service standards. The Production Coordinator oversees inventory, liaises with vendors, coordinates timelines, and ensures all projects are completed with precision and accuracy. This position requires a strong understanding of jewelry production, an ability to handle high volumes of work efficiently, and a collaborative, solution-oriented attitude.

The Production Coordinator oversees inventory, liaises with vendors, coordinates timelines, and ensures all projects are completed with precision and accuracy. This position requires a strong understanding of jewelry production, an ability to handle high volumes of work efficiently, and a collaborative, solution-oriented attitude.
Special Order Processing
- Submit and manage all special orders with vendors, ensuring accuracy and adherence to specifications and timelines.
- Confirm delivery dates and monitor orders to meet deadlines, providing updates on delays or issues to the sales team.
- Review and approve CAD designs, coordinate changes, and ensure client timelines are met.
- Pair special-order mountings with the appropriate diamonds and gemstones for production.
- Track product costs and report accurately to accounting.
- Manage pricing and margins across all channels, including updates to retail pricing.
- Receive and inventory sourced gemstones and diamonds, preparing them for Sales Associates.
- Manage memo pricing, returns, and weekly inventory checks.
- Coordinate the return of unused sourced diamonds and gemstones.
- Respond to customer service inquiries and direct opportunities to appropriate team members.
- Participate in team meetings, contribute feedback, and foster open communication.
- Maintain excellent telephone and written communication standards.
- Adhere to and enforce security procedures, demonstrating awareness of potential risks.
- Exhibit professionalism in all interactions and adhere to company standards, dress code, and culture.
Experience:
- 2-3 years’ experience in fine jewelry production, special orders, or gemstone management.
- Strong familiarity with CAD designs, gemstone grading, and custom jewelry processes.
- Proven ability to manage high-volume production operations with attention to detail.
- High school diploma or GED required.
- Preferred: Graduate Gemologist (GG) from the Gemological Institute of America (GIA).
- Proficiency in jewelry inventory systems (e.g., Edge, Asana).
- Strong gemological knowledge and ability to grade gemstones and diamonds.
- Excellent communication and organizational skills.
WORKING CONDITIONS/ENVIRONMENT
Work Location: Onsite in New York, NY.
Workdays & Hours:
- Tuesday – Friday: Core hours 11:00am – 7:00pm
- Saturday: Core hours 11:00am – 6:00pm
- Compensation: Hourly pay ranging from $31.25 to $36.06, commensurate with experience.
