About the Job
The Pre-Bid Coordinator is responsible for managing and overseeing all aspects of the pre-bidding process for construction projects. This includes identifying potential projects, coordinating with stakeholders, preparing documentation, and ensuring that all requirements are met before submitting bids. The ideal candidate will have a strong understanding of the construction industry, excellent organizational skills, and the ability to work under tight deadlines.

Key Responsibilities:
- Project Identification and Analysis:
- Research and identify potential construction projects through various sources such as online databases, industry publications, and networking.
- Analyze project requirements, specifications, and eligibility criteria to determine the feasibility and competitiveness of bidding.
- Gather and compile all necessary documentation required for the bidding process, including project plans, specifications, and addenda.
- Coordinate with internal departments (e.g., Estimating, Engineering, Legal) to ensure accurate and comprehensive bid proposals.
- Prepare and submit pre-qualification documents and requests for information (RFIs) as needed.
- Liaise with clients, architects, engineers, and subcontractors to clarify project details and requirements.
- Organize and attend pre-bid meetings, site visits, and walkthroughs to gather crucial information for the bid.
- Maintain effective communication with all stakeholders to ensure timely and accurate information flow.
- Assist in the preparation of detailed cost estimates and budgets based on project specifications and requirements.
- Work closely with the Estimating team to review and refine cost estimates, ensuring accuracy and competitiveness.
- Ensure all bid submissions comply with local, state, and federal regulations, as well as company policies and standards.
- Identify potential risks and challenges associated with the project and develop mitigation strategies.
- Prepare and submit complete and compliant bid packages within the specified deadlines.
- Track the status of submitted bids and follow up with clients as necessary to obtain feedback and results.
- Maintain a comprehensive database of submitted bids and outcomes for future reference and analysis.

- Bachelor’s degree in construction management, Engineering, Business, or a related field.
- Minimum of 1 to 3 years of experience in pre-bidding or a similar role within the construction industry.
- Strong understanding of construction processes, terminology, and industry standards.
- Excellent organizational and time-management skills, with the ability to handle multiple projects simultaneously.
- Strong analytical and problem-solving abilities.
- Proficient in using construction management software and tools (e.g., Procore, Bluebeam, Sage, Microsoft Office Suite).
- Excellent written and verbal communication skills.
