Responsibilities
- Maintain a close working relationship with clinicians to communicate practice ongoings, implement office policies, procedures, and trainings
- Enforcing and maintaining patient expectations through training and implementation oversight
- Manage onboarding for the administrative department
- Work with office and division to regularly review, audit, and maintain OSHA and HIPAA compliance within practice
- Manage and oversee Prior Authorizations for TMS, Spravato, and Prescriptions
- Evaluate staff performance, progress, and growth opportunities regularly
- Nurture and Inspire staff development and provide constructive professional feedback and mentoring
- Maintain a positive, constructive, inclusive work environment where staff feel safe and motivated
- Payroll and timecard review on a weekly basis
- Hire and train new administrative staff and coordinate provider training
- Conduct annual performance reviews
- Run daily reports for each office and ensure copays are collected correctly.
- Ensure the practice and staff adhere to policies, procedures, and regulatory requirements.
- Manage providers scheduling.
- Oversee daily activities and office efficiency.
- Coordinate meetings and reports for the division leaders.
- Assist in writing complicated patient letters for providers.
- Respond to all patient reviews through the Reputation Management platform.
- Managing office staff, office inventory, and facility maintenance as needed.
- Reviews and documents patient check-in inventories (questionnaires, etc) prior to administering any treatment Keeps equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs or seeking Practice Management guidance and/or assistance.
- Support and backup front desk as needed
- Backup/Support TMS and Spravato technician
- Collaborate with centralized teams (VOB, Prior Auth, etc) to maintain office workflow as necessary
- Collaborative Proactive effort towards resolving day to day office concerns and improving office workflow, efficiency, and revenue
- Back up oversight of prescription refill requests and resolves non-clinical concerns
Qualifications
- Prior experience with medical office management and billing codes required.
- Psychiatric office experience preferred.
- Microsoft Office, Microsoft Office, and SharePoint experience.
- Bachelor's Degree preferred
- Behavioral Health experience 3 years preferred
- Supervising experience 2 years preferred
