Job Summary:
We are seeking an entry-level Plant Administrative Assistant to join our team. This role supports various departments and requires excellent organizational skills and attention to detail. The ideal candidate will assist with administrative tasks, manage data, and coordinate facility activities.
Responsibilities:
- Utilize Excel for tasks such as formulas, VLOOKUPs, and pivot tables.
- Organize Teams channels and folders.
- Track employee timesheets and PTO in coordination with HR.
- Coordinate facility events and communications.
- Support R&D with administrative tasks and manage the Product Development Timeline.
- Perform data entry, including utility usage and batch information.
- Prepare monthly production, shipping, and quality reports.
- Set up new IFS vendors and confirm banking details.
- Ensure contractor and visitor Certificates of Insurance are current.
- File documents such as batch records and training sheets.
- Follow up with labs for testing results.
- Reconcile batch records and manage inventory transactions in IFS.
- Print barcode labels for production.
- Monitor inventory levels and reorder production items as needed.
- Record and distribute meeting minutes.
- Maintain the facility's calendar and bulletin boards.
- Create PowerPoint presentations for meetings and trainings.
- Coordinate annual mask fit and auditory testing.
- Serve as backup for sample management and supply orders.
- Assist the Plant GM with various administrative tasks.
Qualifications:
- Associate's degree in business, Marketing, or related field.
- 2 years of administrative experience preferred.
- Proficiency in Microsoft Office (Excel, Teams, Outlook, Word, PowerPoint, PDF); IFS experience is a plus.
- Strong organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities under tight deadlines.
