Overview
Friendly Franchisees, a rapidly growing, privately-owned company in the restaurant and real estate industries, is seeking a highly capable Personal and Executive Assistant to support our CEO and his son. This role combines personal assistance with executive-level administrative skills and is critical to ensuring the smooth operation of their professional and personal lives. The ideal candidate will be highly organized, discreet, and adaptable, with up to 5 years of experience in a similar role.
Key Responsibilities
Personal and Administrative Support
- Manage and coordinate all personal tasks for the CEO and his son, including scheduling appointments, family events, errands, and travel plans.
- Handle personal errands, reservations, and family-related tasks efficiently.
- Manage calendars, including scheduling professional and personal meetings, appointments and travel arrangements.
- Screen and prioritize communications, including emails and calls, ensuring timely responses.
- Prepare and organize documents, presentations, and correspondence as needed.
Travel Coordination
- Arrange complex travel itineraries for both personal and professional needs, including flights, accommodations, and ground transportation.
- Prepare detailed travel plans and manage expense reporting for timely reimbursements.
Operational Management
- Coordinate with internal teams and external contacts to manage the CEO's professional and personal tasks seamlessly.
- Oversee the execution of personal projects and household related tasks for the CEO and his son, ensuring timelines and objectives are met.
- Assist in managing property or household-related tasks including maintenance, vendor, coordination, and payments.
Confidentiality and Availability
- Maintain strict confidentiality in all matters related to the CEO and his family.
- Be available 24/7 to address any urgent personal or professional needs.
Meeting and Event Coordination
- Plan and coordinate meetings, conferences, and events for both personal and professional needs.
- Prepare meeting materials and attend meetings as needed, taking minutes and ensuring follow-up on action items.
Skills and Qualifications
- Education: Bachelor's degree preferred but not required.
- Experience: 3-5 years in a similar role, providing personal and executive-level support.

Work Setting
- Location: Newport Coast Drive, CA / La Palma, CA, based on management requirements.
- Schedule: Full-time, with extended hours and weekend availability as needed.
Compensation
- Salary: $200,000 - $250,000 per year, commensurate with experience.
