Job Summary: A Payroll Specialist is responsible for processing and managing all aspects of payroll for an organization. This role ensures that employees are paid accurately and on time while adhering to legal and regulatory requirements. The Payroll Specialist will work closely with HR, finance, and management to ensure that payroll data is up-to-date, accurate, and compliant with company policies and legal standards.
Responsibilities
- Process employee payroll accurately and on time, ensuring all deductions, overtime, bonuses, and other adjustments are correctly calculated.
- Ensure all payroll data (hours worked, pay rates, deductions, etc.) is entered into the payroll system correctly.
- Process salary and wage payments for employees, ensuring compliance with employment agreements and relevant labor laws.
- Ensure compliance with federal, state, and local tax laws, including timely filing of tax returns and remittance of taxes.
- Prepare and submit required payroll tax reports (e.g., W-2s, 1099s, quarterly tax filings).
- Maintain knowledge of legal requirements, ensuring that all payroll-related activities adhere to applicable regulations.
- Maintain accurate employee payroll records, including pay rates, deductions, and benefits.
- Respond to employee inquiries related to payroll, deductions, and benefits.
- Resolve payroll discrepancies and assist employees with payroll-related concerns.
- Administer employee benefits (health insurance, retirement plans, etc.) in relation to payroll.
- Ensure proper deductions for benefits are made and remitted to the appropriate vendors.
- Reconcile payroll reports with accounting records to ensure accuracy.
- Prepare reports for management regarding payroll costs, discrepancies, and any potential issues.
- Utilize payroll software (e.g., ADP, Paychex) to process payroll and manage employee information.
- Perform regular updates and system checks to ensure that the payroll system functions smoothly and integrates with other HR system.
- Maintain confidentiality of sensitive payroll data, including employee salary and tax information.
- Follow company protocols for handling and storing confidential information.
Qualifications:
- Strong knowledge of payroll processes and procedures
- Proficient in data entry and attention to detail
- Familiarity with governmental accounting principles and regulations
- Experience with payroll software such as Ceridian, Workday, or Kronos
- Ability to analyze financial concepts related to payroll
- Excellent organizational and time management skills
- Benefit Knowledge
- Bachelor's degree in Accounting, Finance, Human Resources, or related field (or equivalent work experience).
- Minimum of 2-3 years of experience in payroll processing, with a strong understanding of payroll software and systems.
- Proficiency with payroll software (e.g., ADP, Paychex, QuickBooks) and MS Excel; ability to handle large amounts of data and analyze payroll information.
- Strong knowledge of payroll tax laws, labor regulations, and benefits administration.
- High level of accuracy and attention to detail in all payroll functions.
- Ability to resolve payroll issues and discrepancies in a timely manner.
- Strong communication skills, both written and verbal, to interact with employees and management.
Preferred Qualifications:
- Certification in payroll (e.g., Certified Payroll Professional, CPP).
- Experience in multi-state payroll processing.

Working Conditions:
- Full-time position, typically Monday to Friday, with occasional overtime during payroll cycles or year-end reporting.
- Work environment may be in an office or remote, depending on company policies.
Job Type: Full-time
Salary: $55,000.00 - $65,000.00 per year
Experience: 2-3 years of experience in payroll processing
