PAYROLL SPECIALIST (CONTRACT)

SUMMARY
The PayrollSpecialist Contractoris responsible for managing the company’s payroll. This person will work with the Senior Payroll Compliance Specialistto process multi-state payroll, ensuring compliance with all federal, state and local registration.The Payroll Specialist will have a deep understanding of payroll systems and be able to handle payroll-related inquiries while maintaining accuracy and confidentiality. This position reports to the Associate Director, HRIS Technology, or another senior management personnel that the President of the Company may designate.Working hours are Monday through Friday, from 8:00am to 5:00pm or 9:00am to 6:00pm (Pacific Standard Time).
ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES
- Process multi-state biweekly and semimonthly payrolls, as well as special payrolls (i.e.. severances and off-cycle payouts) to ensure employees get paid in a timely and accurate manner
- Process off cycle payroll runs, including terminations, retroactive payments or corrections.
- Ensure timesheets and time off requests are submitted and approved timely
- Manage PTO, salary updates, 401(k) deferral changes
- Be our ADP report guru and provide ad-hoc reports as needed
- Apply for State and/or Local Employer Tax ID numbers as needed for wage reporting purposes
- Prepare advanced reports using reports in ADP and Excel, (i.e. payroll reconciliation, monthly labor costs, monthly headcount, quarterly commissions, audits documentation)
- Ensure the accurate and timely filing of payroll taxes, payments and other statutory information requests (DOL) in multiple jurisdictions
- Maintain confidentiality of any payroll, private employee information and any proprietary information and ensures payroll information is secure
- Assist employees with HR related topics such as payroll inquiries, compensation, and other HR and company programs
- Ensure compliance with applicable laws and payroll tax obligations
- Perform other duties and special projects, as assigned
- Regular attendance, in accordance with company's attendance policy and supervisory assignment, is an essential job duty requirement for this position
REQUIRED QUALIFICATIONS
- Bachelor’s degree in Human Resources, or another related field in business administration
- Minimum of 4-6 years working as Payroll & Benefits Specialist within multi-state payroll experience
- Minimum of 3-5 years of ADP Payroll Processing Experience
- Proficient Excel skills required (vlookups, pivot tables, formulas)
- Advanced analytical and strong modeling skills
- Knowledge of relevant labor laws and regulations
- Ability to manage and prioritize multiple tasks with emphasis on meeting tight deadlines
- A work ethic based on a strong desire to exceed expectations
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team
- Exceptional attention to detail, organizational and time management skills
REQUIRED QUALIFICATIONS
- Experience with Workday is preferred but not required
PHYSICAL DEMANDS
- Stationary Position: frequently remains stationary up to 90% of the time and sitting up to 8 hours in a day

The above-listed salary range is required by the California Pay Transparency Act and may differ depending on the location of those candidates hired nationwide. The salary range shared in the job description is for the listed position and only pertains to the candidate if they work in Irvine, CA. Actual compensation is influenced by a wide array of factors including but not limited to internal pay equity, skill set, education, licenses and certifications, geographic location, essential job duties and requirements, and the necessary experience relative to the job’s minimum qualifications. If candidates are considered for a nationwide role, then the compensation range will follow the marketability of the job function within those states. An additional discretionary bonus structure or incentives may be offered as part of the overall compensation package, in addition to the full range of medical, dental, and/or other benefits, dependent on the level and position offered.
