Requirements / Who we are looking for:
Our client is seeking an Administrative Assistant to perform administrative work for the division manager or site manager.
- High school diploma or GED with a clear understanding of general math and the ability to read, write, and comprehend written and verbal English.
- Some knowledge of general office practices and procedures.
- One to three years of internal or directly related experience with knowledge of departmental functions, terminology, and interrelationships.
- Effective oral and written communication skills with a good vocabulary, proper grammar, and the ability to independently compose routine written communications.
- Good telephone etiquette.
- Proficient PC skills with a solid working knowledge of MS Word, MS PowerPoint, MS Excel/Access, and other departmental software programs.
- Ability to maintain spreadsheets and modify formats to complete assignments.
- Strong attention to detail and good planning, organizational, and time management skills.
- Capable of working effectively despite interruptions and meeting or exceeding production and quality goals.
- Ability to handle confidential or sensitive information and issues.
- Demonstrated ability to work in a team environment and willingness to assume additional or new responsibilities readily.
Performance Objectives / What you'll be doing:In this obvious role, you’ll be responsible for:
- Performs clerical and administrative duties, including typing documents, correspondence, and reports for the assigned department. Composes and initiates routine correspondence and memoranda.
- Edits and proofreads documents for grammar, spelling, clarity of expression, organization, and conformance to company specifications.
- Proofreads art or graphics to ensure agreement between art and text.
- Enters data from various sources to maintain and update databases and spreadsheets, ensuring data integrity through verification of input and calculations.
- Creates, runs, and distributes standard and customized periodic reports to communicate follow-up requirements and summarize key information.
- Collaborates with the assigned team to develop and maintain standard templates, descriptions, and sections of presentations for improved efficiency and reduced turnaround time.
- Screens telephone calls and visitors, answering basic questions and providing information as needed. Takes accurate phone and verbal messages, ensuring timely delivery.
- Maintains organized computer and/or hardcopy files for easy identification and retrieval.
- Tracks and maintains inventory of departmental office supplies, prepares purchase requests, and coordinates with the purchasing department.
- Occasionally schedules and maintains calendars for meetings and travel itineraries, coordinating associated arrangements as needed.
- Plans, coordinates, and makes arrangements for on-site and off-site conferences, meetings, and special events, ensuring accurate and timely communication to involved parties.
