Position Description: Our Oakland office is currently seeking a part-time, in-person Office Assistant with a variety of duties to support the growing needs of the Oakland office and the administrative team. This is an excellent opportunity to gain administrative work experience in a professional services environment. The desired schedule is 23 hours per week, Wednesday – Friday, during normal business hours.
Ideal Candidate: This role is our front desk company representative. We are looking for an enthusiastic, detail-minded “self-starter” with a creative and collaborative work style.
Compensation: The pay rate for this position is $20/ hour. This is a good faith estimate pursuant to pay transparency laws. Benefits include PTO accrual and pro-rated holiday pay on company-recognized holidays.
Primary Responsibilities:
- Greet visitors, answer phone calls, and submit visitor names to building security.
- Handle incoming and outgoing mail and packages and office errands.
- Data entry, tracking and updating of project records to facilitate easy retrieval.
- Copy, scan, and bind documents, drawings, and reports, including moving large drawings (20-40 pounds).
- Order and stock office/lunchroom supplies.
- Schedule meetings/lunches and coordinate lunch orders.
- Set up and clean up meetings and special events.
- Perform kitchen and hydration station duties, including the loading/unloading of the dishwasher, fridge clean-up/organization, and keeping the kitchen clean and tidy.
- Support onboarding of new employees with various set-up tasks.
- Assist Engineering, Library Records, and the Administrative team on special projects as requested.
Qualifications:
- Computer proficiency and experience with Microsoft Office Suite and PDF software
- Professional interpersonal and communication skills (verbal and written)
- Good organization, time management, and follow-up skills
- Dependable, takes initiative, and willing to learn
- Detail-oriented
- Ability to follow instructions and handle multiple tasks with minimal supervision
