The Paralegal and Lead Support Specialist will provide comprehensive support to the legal department, focusing on litigation support, contract review, negotiation and management, and executive assistance.
This role combines the skill set of a paralegal with the organizational and administrative expertise of an executive assistant to ensure smooth daily operations, legal compliance, and efficient document management under utmost discretion. This role requires an individual who is technologically proficient and adaptable, with a strong understanding of AI and emerging technologies, and a proven ability to embrace and drive change in dynamic environments.
Litigation Support:
- Process legal service for claims, subpoenas, and litigation (CT Corporation), including receipt, review, and proper distribution.
- Open and manage files in matter management system to ensure accurate tracking of all matters.
- Issue legal hold notifications to custodians for claims and litigation.
- Manage all discovery requests from external counsel with internal colleagues, including Research & Development, Quality, Customer Service, Business Units and manufacturing plant locations (domestic and international), ensuring all deadlines are met.
- Manage case files, ensuring proper organization and accessibility of documents.
- Provide general paralegal expertise and administrative support, including the creation of new vendor for payment related to litigation settlements.
- Conduct legal research as requested and compile findings in a clear, concise manner.
Contract Management:
- Draft, review, negotiate and revise contracts, agreements, and other legal documents under attorney supervision.
- Maintain a contract management system, tracking contract lifecycles from initial drafting to execution and renewal.
- Coordinate with various departments to ensure compliance with contract terms and timely contract execution.
- Monitor contract deadlines, and alert relevant stakeholders about renewals, terminations, or amendments.
Executive Assistance:
- Provide executive-level administrative support, including managing calendars, scheduling meetings, reserving conference rooms, and handling communications.
- Coordinate and reserve travel arrangements and prepare expense reports for legal executives via official company approved providers.
- Assist with preparing reports (Microsoft Excel, presentations (PowerPoint), and other executive materials for board meetings or executive leadership.
- Create data charts, summaries, and other reports for matters on a regular basis.
- Ensure administration of purchasing requisitions and invoices including those for supplies and vendors.
- Manage outside counsel and vendor invoice tracking and approval process.
- Draft, proofread, and revise legal and business communications in support of attorneys; prepare legal documents and other correspondence under attorney supervision.
WHAT YOU BRING TO THE ROLE:
- Associate's degree
- 5+ years of paralegal experience with a proven track record of excellence in legal support
- Proficiency in case management software
- Strong experience using Microsoft Office Suite
- Advanced knowledge of legal procedures, terminology, and court systems at local, state, and federal levels
- Excellent organizational and time management skills, with the ability to handle multiple priorities
- Strong attention to detail and commitment to accuracy in all aspects of work
- Effective communication skills, both verbal and written
- Ability to work independently and collaboratively in a fast-paced legal environment
- Demonstrated problem-solving skills and proactive approach to challenges
- Contract management experience
- Legal Authorization to work in the US is required. We will not sponsor individuals for employment visas now or in the future for this job opening
