**The Department of Pediatrics has an outstanding opportunity for a Part Time (.5 FTE) Program Operations Specialist to join the IHDD WAINCLUDE team as a vital part of the division.**
This position is responsible for managing the operations of the ECHO IDD Wraparound program which has virtual events twice a month on the 2nd and 4th Wednesdays of the school year with the exception of a break in July/August. The Program Operations Specialist will perform both project management and administrative functions and must work closely, and effectively communicate with faculty, staff, funders, and partner organizations. A successful candidate will bring a high level of organization, excellent communication skills, and an ability to diagnose problems while proactively developing solutions to address them. They will also be supporting decision making around budgets related to long term planning and the overall program goals.
The position needs to have the ability to multitask. This includes organizing attendees, planning guest speakers (2 per session, 4 per month), organizing their PowerPoints and Case Profile Forms, updating our website using WordPress with the recordings of meetings, edit meeting footage on Vimeo, and uploading the PowerPoint from the didactic presentation. The position also needs to ensure that protected health information (PHI) remains private. They will represent our ECHO program in the Autism and IDD community for IHDD, and WAINCLUDE.
**DUTIES AND RESPONSIBILITIES** Operations Management of the ECHO IDD Wraparound program
+ Plan, organize and run the twice a month ECHO IDD Wraparound session. This includes meeting with other staff to plan out the event, as well as coordinating with a dedicated the note-taker
+ Compile subjects of interest for the ECHO IDD Wraparound sessions, which happen twice per month
+ Find and coordinate four speakers per month for sessions
+ Act as the main contact person for the ECHO IDD Wraparound program for both speakers, HUB team members and guests
+ Meet with each new session participant for a Zoom/Box tutorial (if needed)
+ Make decisions around budgets as related to long term planning and the overall program goals
+ Organize participant resources and clinic schedulesMarketing for participant recruitment and engagement
+ Foster and maintain relationships with community members who could be potential speaker/presenters at monthly ECHO IDD Wraparound sessions
+ Independently prepare marketing material for dissemination
+ Using available data, design purchasing incentives; organizing, tracking, and sending participant incentives
+ Create and send session invites from both outlook and mass email platforms
+ Organize HUB team recommendations and send to participants
+ Scrub PHI information and upload case presentation and recommendations into "Box"Support HUB team in formatting didactic presentations
+ Collect and track data related to ECHO IDD Wraparound Program as it relates to marketing of the program
+ Perform other related duties and special projects as assignedPost Event Production
+ Edit videos, share recordings, share PowerPoints and case files with participants as well as post event surveys
+ Create and send Continuing Medical Education/post-clinic surveys
+ Record and store all clinic videos
+ Troubleshoot technical issues during and after presentations
+ Data entry into the Client Relationship Management (CRM) Database
+ Organize the "Box" folder for participants and HUB teamOrganize Case Presentations
+ Send case presentation forms to participants
+ Independently identify and scrub case presentation forms of Protected Health Information (PHI)
+ Review and prepare each case by individually assessing characteristics of each case. Examples include specific age, race, gender if applicable and diagnostic criteriaAttend other meetings for WAINCLUDE
+ Attend monthly HUB Team Meetings as well as other ECHO Sessions
+ Participate in team meetings and organize notes
+ Determine next subject for the monthly sessions **MINIMUM REQUIREMENTS**
+ Bachelor's degree and at least 2 years of professional experience _Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration._ **ADDITIONAL REQUIREMENTS**
+ Excellent verbal, written and interpersonal communications skills
+ Proficiency in Microsoft Office software
+ Demonstrated problem solving skills' strong attention to detail and ability to adeptly manage multiple priorities and timelines within a complex organization
+ Demonstrated ability to work independently
+ Must be able to use Zoom, Wordpress, and CRM program.
+ Ability to communicate effectively with colleagues and community members via email, as well as on phone if needed **DESIRED QUALIFICATIONS**
