Overview:The Operations Specialist, Property Management, Florida reports to the Regional Director of Real Estate Management Services, Florida, while providing a variety of operational support services to the Property Management Team. The individual in this position works closely with the REMS team which includes the Associate Directors, Regional Associate Director of Engineering, Property Managers, Assistant Property Managers, Chief Engineers, and Property Administrators. Assisting with various duties that may include accounting reports, vendor support, property service agreements, management agreements, storing digital files, training, and assisting offices with administrative support. This is an office-based position and the employee can work in either our Boca Raton or Ft. Lauderdale office.
Responsibilities:Leadership Support:
- Assist the Regional Director in daily operations to maintain efficiency.
- Act as a liaison between the Regional Director and REMS staff.
- Support onboarding and orientation of new employees in partnership with the Operations Manager.
Administrative & Operational Tasks:
- Organize and schedule leadership meetings, quarterly manager meetings, and training sessions.
- Prepare PowerPoint presentations and meeting agendas.
- Manage digital filing, BOX folders, and property management documentation.
- Coordinate vendor service agreements, COIs, and property insurance matters.
- Support IMPAK system use, training, and audits for work orders.
Financial & Compliance:
- Track property finances, including owner distributions and project management fees.
- Work with Corporate Accounting on invoices and reimbursements.
- Prepare and update new business schedules, proposals, and pursuit tracking.
- Perform spot audits for compliance, A/R collections, and team deliverables.
Team & Event Coordination:
- Plan market meetings, appreciation events, and training sessions.
- Maintain updated REMS organizational charts and client contact sheets.
- Act as OnSolve Platform contact for critical event management updates and training.
Special Projects & Other Duties:
- Partner with the Market Leader to improve efficiency and client service.
- Conduct in-office/on-site training and assist with new property transitions.
- Provide backup for field offices during staff absences.
Education:
- Bachelor’s degree in Business Administration, Facility Management, or a related field preferred.
Experience:
- 5+ years in operations, managing multiple workstreams; commercial real estate experience is a plus.
- Strong organizational, analytical, and communication skills.
- Proficiency in Microsoft Office, Excel, and Smartsheet; experience with digital platforms like BOX preferred.
Skills:
- Exceptional multitasking, problem-solving, and attention to detail.
- Ability to work collaboratively across teams and manage vendor relationships.
