As a member of the College of Nursing and Health Sciences Operations Team, the role of Operations Specialist will utilize its expertise to manage complicated internal processes and systems while providing excellent customer service. The college comprises students, faculty, staff, administrators, alumni, and health partners across Southern California. The role supports the team’s resource management, compliance administration, information distribution, personnel support, and large event execution.The college operates on five Southern California campuses with an annual enrollment of approximately 2,200 students. The college offers bachelor’s, master’s, and doctoral degrees that prepare scholars for a lifetime of intellectual inquiry.

The ideal candidate will be highly organized, maintain outstanding customer service, and perform under general supervision. The position is located at the Azusa Campus and supervised by the Director of Operations. The position works closely with the Dean, Associate Deans, and other key leaders.
- Bachelor’s degree required.
- Master’s degree or equivalent education and experience.
- Two years of experience in a client-based, service-oriented environment.
- Demonstrated ability to manage multiple complex priorities and systems.
- Teamwork in a fast-paced, high-change environment.
- Higher education experience preferred.
- Support and improve the systems and processes for managing the school’s technology and human resources.
- Assist in the facilitation of infrastructure/technology that supports programs and operations across multiple sites in Southern California.
- Assist the intricate administration of the processes and systems that assist the collection of faculty data and related reports, onboarding, BRN approval for faculty, faculty development activities, and assist with all other faculty affairs.
- Assists in preparing a comprehensive set of management reports that will meet internal and external reporting requirements (i.e., board reports, comparative data sets, departmental performance, etc.).
- Strengthen the processes used to collect, manage, and analyze data we utilize for accreditation and administration. Some of our accrediting bodies include the Western Association of Schools and Colleges (WASC), the Commission on Collegiate Nursing Education (CCNE), and the California Board of Registered Nursing (BRN).
- Partner with and support leaders to generate and communicate APU policies.
- Participate in compliance-related efforts.
- Participate in the management of communications for the Office of the Dean and Operations to our students, faculty, adjuncts, staff, and community members.
- Deliver accurate and timely information to our community utilizing our support center, help center, and school websites.
- Participate and support the management of several systems for faculty workload assignments, Operations ticket systems, and websites that distribute information to the school and its students.
- Manage and support the digital and physical information infrastructure.
- Generate reports that inform leaders on key strategic decisions.
- Manage the systems that move applicants through the hiring phase and onboarding.
- Manage and support the processes of the Teaching Assignment Management System (TAMS), faculty workloads, and adjunct contract generation.
- Support the roles of full-time faculty, adjunct faculty, staff, and student employees.
- Support the purchasing process and submit purchase requisitions for the college.
- Review expense reports and provide Concur support to faculty and staff.
- Process and track purchase orders, invoices, and independent contractors.
- Partner in the production and execution of events with up to 1,000 guests.
- Act as the Office of the Dean’s liaison with university services for special events, including Information Technology, Facilities, and Catering.
- Provide suggestions for process and system improvements that increase efficiency or effectiveness.
- Assist with the production of marketing materials, social media content, personnel or event spotlight videos, email campaigns, and other recruiting efforts.
- Provide administrative support, take minutes, and coordinate meetings as needed.
- Support school activities that may include evening and weekend assignments.
- Manage sensitive and confidential file systems in both digital and physical formats.
- Responsible for daily electronic timekeeping as it applies to the scope of this position.
- Support, affirm, and sustain the beliefs, values, and mission of the university in all facets of one's role and through the university's daily living expectations.
- Regular, punctual attendance as required by the supervisor based on department needs.
- Performs other duties as assigned by the supervisor.

- Able to use stairs or ramps as needed in executing job duties at university facilities.
- Reading, writing notes, and computer monitor.
- Pleasant office setting, and a comfortable temperature.
- Excellent software skills in Google Docs, Sheets, Drive, Gmail, Calendar, Meet, etc.,
- Proficient with Microsoft Office Word and Excel.
- The college uses the following programs: Google Apps, Microsoft Office Word and Excel, Zoom, PeopleSoft, 25Live, Adobe Acrobat, TAMS, SurveyMonkey, HappyFox, Canva, Dropbox Sign, Formstack, etc.
Compensation
Grade 10: $25.94 to $29.83 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitivebenefits package.
