Summary: Huda Beauty is looking to hire a talented and detailed oriented Customer Service Coordinator, based in our New York office. The ideal candidate will be a self-starter, enthusiastic, and will play a starring role in helping craft and implement strategies and workflows with a specialized focus on logistical improvements to assist our Customer Service and Supply chain teams.
Essential Duties and Responsibilities:
- Responsible for daily processing of internal IRF and gratis orders including inventory validation as well as managing timelines and communication.
- Manage the daily transactional processing of orders and line uploads within ERP system and transmission to 3PL warehouse system.
- Monitor status and timing of global inventory transfers committed to POs for marketing subscription box partnerships (BoxyCharm, IPSY).
- Manage order shortage reporting for internal publishing and weekly OOS ETA communication to retail partners to support replenishment.
- Continuously update any retailer compliance infractions with weekly publication to 3PL warehouse for improvement.
- Responsible for managing order processing and communications with Sephora Mexico across all brands.
- Maintain updating shared file of final retailer launch QTYs to forecast allocations to publish back to global supply planning team on behalf of our region.
- Support as needed in communications with 3PL warehouse around any specialized order shipping requirements, such as delivery deadlines or appt required.
- Assist in month end closing processes to ensure all sales orders and lines have closed in ERP to support timely invoicing.
- Manage upcoming inventory ETAs with planning teams to maximize fill rate across orders.
- Support as needed in RTV processing in ERP and reconciliation with 3PL warehouse in accordance with finance credits.
- Support as needed in onboarding logistics across 3PL warehouse and systems for new retailers and points of distribution.
Requirements
- 2-4 years in similar role within a D2C / B2B business
- Experience and familiarity with order processing and analyzing large data sets
- Strong excel skills and proven ability to reconcile data variances and maintain reports
- Preferred experience working with ERP and/or EDI systems
- Potential background with some logistic knowledge in warehousing or freight
- Excellent attention to detail
- Beauty or lifestyle experience preferred
- Team player willing to wear many hats and thrives in a scrappy environment
