The Operations Assistant provides administrative support to the operations team by managing daily tasks, coordinating communication, maintaining records, scheduling meetings, ordering supplies, and assisting with data analysis to ensure smooth and efficient business operations.
Administrative Support:
- Managing calendars and scheduling meetings
- Handling incoming calls and emails
- Maintaining filing systems and document organization
- Processing customer orders
- Ordering office supplies and managing inventory
- Coordinating travel arrangements
- Processing company mail
- Oversee intern tasks
Operational Support:
- Assisting with data collection and analysis
- Tracking project progress and deadlines
- Updating operational procedures and documentation
- Preparing reports and presentations
Raiser’s Edge NXT is the primary database used by all staff.
- Enter records for President/CEO as needed
- Manage gifts and monthly donor process
- Audit quarterly to remove duplicate records
Learning Management System
- Adding or removing users or groups to classes
- Providing reports and discount codes
- Reporting issues to CD2 Support ticket system and our internal team in a timely manner
Support Webinar hosted educational courses
- Test courses and classes
- Support SCORM formatting process
- Available for course recording tech needs
- Set up streaming services
- Review course materials with the instructor
- Update course content as needed
- Available during live courses for support
- Audit site biannually to ensure quality control
Requirements
- Understanding and alignment with the Institute mission and values
- Professional communication over the phone, in-person, and via email
- Ability to work independently and as part of a team
- Excellent organizational and time management skills
- Strong attention to detail
- Ability to prioritize tasks and meet deadlines
- Problem-solving and analytical abilities
- Previous experience with any learning management system preferred
- Previous experience with any client management software preferred
- Intermediate knowledge of Google Suite, Microsoft Office Suite and Zoom
- Ability to lift, bend and transport materials weighing up to 25lbs
