The Operations Manager for our Outpatient Substance Use Disorder (SUD) center will oversee daily operations, including clinical reports, supply management, intake coordination, and team leadership. Supporting the Clinical and Program Directors, they will ensure smooth operations and effective communication across teams, with a strong focus on delivering an exceptional client experience. The role requires excellent attention to detail, relationship-building skills, and operational efficiency.
The Operations Team is a active member of the team, interacting with clients throughout the day and supporting their recovery journey from transporting new clients, facilitating daily routines, and collaborating with the team for the best possible client experience.

Essential Duties and Responsibilities:
Clinical Operations:
- Manage clinical reports, including UAs, lab results, and billing gap reports
- Update and manage databases in EMR (KIPU), Excel, and other systems
- Monitor and resolve issues with unsigned or incomplete notes
- Handle attendance tracking and correct errors in real-time
- Ensure timely completion of paperwork and manage patient-related tasks
- Support daily operations, including maintaining center cleanliness, answering calls, supporting events
Intake Management:
- Coordinate patient admissions, transportation, and medical appointments
- Process intake paperwork and manage housing agreements
- Coordinate with admissions and billing to ensure seamless intake and payments
Team Management:
- Provide daily task summaries for Leadership and Support Specialists
- Train, guide, and problem-solve for the Operations Team (Team of 3 Behavioral Health Technicians)
- Support clinical team and hand off between shifts and other teams (Admissions, Housing, Alumni)
- Maintain positive and upbeat connections with clients
- Manages conflict and facilitates communication between clients and staff
Medical & Logistics Support:
- Coordinate medication refills and insurance follow-ups
- Monitor medical appointments times and support medication refills and co-payments process
- Collecting specimens (UAs), perform and record vitals as needed
- Inventory and order medical and office supplies,
About You:
You are an organized, detail-driven professional with experience in the SUD industry. You"ve held management or shift leader roles, honing your communication skills and tech skills, the ability handle ambiguity and improve operational systems. You love working with a team to support a client"s recovery journey within rehab or behavioral health by creating a fun and welcoming environment for clients.
Skills:
- Excellent verbal and written communication skills, ability to connect with a diverse client base work with entire clinical team
- Strong organizational and multitasking skills
- Ability to train and develop staff to ensure operational outcomes and efficiency
- Tech Savvy, proficient in Microsoft Office, multi phone line and spreadsheets
- Familiar with the SUD Industry and intake process
Experience and other Requirements:
- 2+ years of work experience in Substance Use Treatment or Rehab Industry.
- Previous Training, Leadership or Management experience
- AA or BA or equivalent experience. Education with Drug and Alcohol Counseling, Psychology, Health Services, or Social Work is a plus!
- Previous experience in Hospitality, as a Behavioral Health Technician, or in fast paced administrative or office settings are highly preferred
- Valid Drivers License
- Negative TB test within past year
- Ability to pass pre-employment and/or random drug screenings
Job Status: Full- Time, Monday - Friday,
Schedule: 9am - 6pm, with occasional closing shifts (11am - 8pm) for coverage
Location: On-site in Santa Ana

The pay range for this role is:
27 - 32 USD per hour(The Edge Treatment Center)
