Whalen Exteriors is seeking an experienced Office Manager to oversee essential operational functions and ensure the smooth day-to-day operations of our office. This role is crucial in maintaining financial integrity, performing HR functions, and optimizing administrative processes. - Bill Entry and Vendor Payments (AP): Ensure timely and accurate entry of bills and payments to vendors.
- Bookkeeping: Maintain accurate financial records, including transaction entries and account reconciliations.
- Commission Payouts: Calculate and process commission payments for sales staff.
- Data Entry: Manage and update company databases with precise and timely data.
- Financial Tracking & Reporting: Monitor and report on financial performance, including budget tracking and variance analysis.
- General Liability and Workers Comp Audits: Coordinate and manage audits to ensure compliance with insurance requirements.
- Human Resources & Onboarding: Oversee HR functions, including recruitment, onboarding, and employee record maintenance.
- Invoicing and Collections (AR): Generate invoices, track receivables, and manage collections to ensure timely payments.
- Liaison to Accountant: Work closely with the company's accountant to prepare financial statements and reports.
- Office Staff Training: Train and support office staff to ensure efficient and effective performance.
- Subcontractor Onboarding & Compliance: Ensure all subcontractors meet compliance requirements and manage their onboarding process.
- Subcontractor Payouts: Process and manage payments to subcontractors.
- Proven experience in office management, ideally within the construction or related industries.
- Familiarity with QuickBooks Online or similar accounting software is preferred.
- Strong organizational skills and attention to detail.
- Excellent communication skills and ability to multitask effectively.
- Proficiency in G-Suite, MS Office Suite, and familiarity with CRM software.
