Institute educational objectives include offering classes, lectures, library holdings, and opportunities for students to study fine art in the great museums of the world. Strong partnerships with renowned museums and universities in Houston, including the MFAH, the Menil Collection, the Glassell School of Art and other arts institutions are integral to the Institute's mission to provide opportunities for students to study original works of art.
Position Description:
We are seeking a highly organized and detail-oriented person to provide comprehensive support to the Director of the Allbritton Art Institute. The ideal candidate will possess a basic understanding of budgeting and accounting principles, exceptional scheduling abilities, a proven record of working with distinguished artists and guest lecturers, and a collegial disposition.
Responsibilities:
- Manage the Director's calendar, scheduling appointments, meetings, and travel arrangements as needed.
- Assist in budget preparation and tracking, including expense reporting and invoice processing.
- Coordinate logistics for events, exhibitions, and guest lectures, liaising with artists, speakers, and vendors as necessary.
- Prepare correspondence, reports, and presentations for internal and external communication.
- Maintain organized filing systems and databases, ensuring easy access to relevant information.
- Handle incoming inquiries and requests, providing timely and professional responses.
- Assist in the coordination of special projects and initiatives as assigned by the Director.
Requirements:
- Bachelor's degree in Business Administration, Arts Management, Art History or related field preferred.
- Proven experience as an effective office manager or similar role, preferably in an arts or cultural institution. Basic understanding of budgeting and accounting principles, with the ability to assist in financial management tasks.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with the ability to interact effectively with artists, guests, and colleagues at all levels.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Experience in using social media for promoting AAI events.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Flexibility and adaptability to changing priorities and deadlines.
- Passion for the arts and a commitment to supporting the mission of the Art Institute.
