THE TEAM
Norstella is a high-growth, international business which means we have busy offices in key locations where we bring our teams together to collaborate and innovate. Reporting intothe Executive EA, the Office Manager - New York will work closely with our administration team (including the global Office Managers and Executive Assistants) to seamlessly enable the operations required to bring our people together.
SCOPE OF ROLE
We are seeking an Office Manager to join our team and ensure smooth Administrative Operations for our growing organization. The ideal candidate for this position will have experience working in a fast-paced environment, who is flexible, proactive, resourceful, detail oriented and efficient with a high-level of professionalism.
This is an exciting opportunity as we are currently looking to re-open our New York Office and this person will be the go to person as we open the office and will implement new processes and ways of working. This position will work in our NYC office 5 days per week.
In this role as Office Manager, you will:
- Welcome and serve guests at the NYC office and coordinate office utilization across our entire organization.
- Own all office management tasks and projects such as mail, supplies, staff lunches, travel coordination, facilities and health and safety protocols.
- Support our human resources, team with events, culture, policies, and training administration
- Manage and report on budget
- Assist with the setup and troubleshooting of IT equipment, including computers, printers, and networking devices.
- Assist in the documentation of IT procedures, policies, and user guides.
- Provide basic technical support and training to staff members
- Other administrative and executive tasks as needed
HOW YOU’LL SUCCEED
- Working closely with our Executive Assistant and Director of Operations to successfully re-launch the New York office in July
- Develop and implement new processes and ways of working for the office
- Understand the business so that last-minute requests from colleagues are anticipated and contingency plans are in place
- Has full ownership of security of the office
- Aware of routine challenges and able to assist on trouble-shooting of issues such as connecting to wifi, syncing to printer, room booking etc.
WHAT IT TAKES
- Bachelor’s degree
- Prior office management related experience in a high growth organization
- Exceptional, organizational and communication skills
- Excellent time management skills and ability to juggle multiple tasks and priorities
- Strong customer service skills with ability to handle confidential information
- Knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
- Familiarity with computer hardware, software, and networking systems
- Ability to work independently and prioritize tasks effectively
- Flexibility to adapt to changing priorities and work schedules.
- Prior experience of managing expenses
- Must be located in greater NYC area
WHAT WE OFFER YOU
The expected base salary for this position ranges from $60,000 to $75,000. It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered. In addition to base salary and a competitive benefits package (listed below), successful candidates are eligible to receive a discretionary bonus.
