Responsibilities and Duties:
Office Management:
- Ordering of supplies.
- Ensuring the office is organized, well-stocked, and presentable.
- Coordination of employee-recognition lunches.
- Sending/receiving of office mail and packages.
- Greeting office guests.
- Answering the main company phone line.
- Running occasional company errands.
- Travel booking.
- Assisting the executive team with presentation preparation.
- Maintaining the electronic filing system.
- Completing expense reimbursements.
- Responsible for benefits administration.
- Responsible for new hire onboarding.
- Responsible for coordinating with temp agency on employees.
- Performs background checks and new hire onboarding.
- Maintains employee files.
- Tracking and reconciliation of credit card purchases.
- Entry of accounts payable vendor invoices into the QuickBooks system.
- Customer invoicing into the QuickBooks System.
- Filing sales tax forms.
- Filing other regulatory forms as needed.
- May perform other duties as assigned.
Education:
- High school diploma or G.E.D.
- 3 years of experience as an Office Manager, Administrative Assistant, Accounts Payable Clerk, or other related position.
- Positive, upbeat, team-player attitude.
- High level of integrity and dependability.
- Enjoys interacting with and supporting people.
- Strong communication skills.
- Detail-oriented and efficient with work duties.
- Ability to work independently and as part of a team.
- Strong capability with Microsoft Office Suite, primarily Word, Excel, and PowerPoint.
