About the Job
Overview:
The Office Manager is responsible for administering, directing, planning and coordinating all clerical and administrative front office activities in locations where the scan volume is in excess of 10,000 annually OR has supervisory responsibility over multiple centers.
Responsibilities:- Oversees daily front office operations.
- May also be responsible for supervising and managing the daily operations of technical staff.
- Trains the front office staff in understanding and implementing Center policies and procedures including new hire training and cross-training current staff.
- Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
- Sources great office talent for the team.
- Ensures that office is staffed appropriately.
- Makes hiring decisions for the front office and clerical staff.
- Helps front office employees establish deadlines for work assignment and completion.
- Monitors work status and progress.
- Identifies, analyzes, and resolves work problems.
- Oversees and approves office supply inventory, ensures that mail is opened and processed; offices are opened and closed according to procedures.
- Ensures that patients are treated courteously by office staff and that other visitors are screened and properly directed.
- Ensures that requests for information are handled promptly and effectively.
- Works with other administrative staff to ensure efforts are coordinated and high quality patient care is provided.
- Participates in professional development activities.
- Responsible for salary recommendations and completes performance reviews on all direct reports
- Resolves questions and problems and refers only the most complex issues to higher levels
Required knowledge, skills and ability:
- PC, Computer and Keyboard skills:
- Ability to type 25 words per minute
- Proficient with MS Word, Outlook and Internet usage
Education:
- High School Diploma or GED
Experience:
- 4+ years of experience as a Patient Coordinator
- 2+ years prior supervisory experience, preferably dealing with front desk functions in a medical office/facility
- Fully trained in all aspects of front office duties
- Customer service background
