Job Summary:
We are seeking an Office Manager & Controller with a passion for both organization and design to join our team. This hybrid role will blend traditional office management and financial oversight with the opportunity to contribute to the aesthetic direction of our projects. The ideal candidate will be a highly organized, proactive individual with strong accounting skills, excellent communication abilities, and a flair for design. This person will play a key role in streamlining our operations while also contributing creatively to our homebuilding projects.
Key Responsibilities:
Office Management & Operations:
- Oversee day-to-day office operations, ensuring smooth workflows and efficient use of resources.
- Manage office supplies, vendor relationships, and maintain a well-organized, professional work environment.
- Assist in the scheduling of meetings, appointments, and travel arrangements for senior leadership.
- Act as the point of contact for employees and clients regarding office-related issues or inquiries.
- Maintain and update company records, files, and systems to ensure compliance and efficiency.
Financial Management & Accounting:
- Manage company financial records, including accounts payable, accounts receivable, and payroll.
- Prepare and maintain budgets, forecasts, and financial reports, providing insights to senior management.
- Oversee bank reconciliations, invoicing, and expense tracking for accuracy and timeliness.
- Ensure compliance with tax filings, industry regulations, and financial best practices.
- Work closely with external accountants and financial advisors to ensure sound financial practices and reporting.
Interior Design Support:
- Collaborate with the design and project teams to support the aesthetic vision of new homes and office spaces.
- Assist in sourcing furniture, decor, and other design elements for both residential and office spaces.
- Provide creative input on design layouts, color schemes, and overall style to elevate the client experience.
- Help coordinate the implementation of interior design decisions during the construction process.
- Work closely with clients and contractors to ensure design concepts align with overall project goals and timelines.
Skills & Qualifications:
- Proven experience in office management, accounting, and financial oversight.
- Strong understanding of basic accounting principles and experience with financial software (QuickBooks)
- Exceptional organizational skills, with the ability to juggle multiple tasks and priorities effectively.
- Excellent communication skills, both written and verbal, with a professional demeanor.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and design software (AutoCAD, SketchUp, or similar).
- Ability to work independently and take initiative while maintaining a collaborative mindset.
- Strong problem-solving abilities and a proactive approach to identifying and resolving challenges.
