Job Description for the Office Assistant
We are seeking a highly organized and proactive Office Assistant to provide administrative support to our executive team. Reporting directly to the Senior Executive of the company, the successful candidate will have experience in operations and project management and will be responsible for co-creating processes, ensuring effective operational productivity, and the successful completion of various projects. The candidate should also be able and willing to travel with the executive team for meetings and conferences.

Role and Responsibilities for the Office Assistant
- Manage the executive team's calendars and schedule meetings.
- Coordinate and manage projects from conception to completion.
- Organize and maintain files and records, both electronic and physical
- Answer and screen phone calls, emails and other correspondence
- Make travel arrangements and coordinate logistics for executive team members.
- Assist with the preparation of reports, presentations, and other documents.
- Manage and maintain office supplies and equipment.
- Act as a liaison between executive team members and other employees, clients and vendors
- Perform other duties as assigned by the executive team.
Qualifications for the Office Assistant
- Associate degree in business administration or a related field OR relevant experience in operations and project management
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills
- Proficient in Microsoft Office and project management software
- Ability to work independently and prioritize tasks effectively.
- High level of professionalism and discretion
- Detail-oriented and able to multitask.
- Ability and willingness to travel with the executive team for meetings and conferences.
- Ability to work in a fast-paced and deadline-driven environment.
- Valid Drivers License and maintain auto insurance.
Compensation
Salary Range: $45,000 - $50,000/year DOE
*The ideal candidate will have the ability to lead and execute initiatives with cross functional teams internally and externally to the organization.
