- POSITION SUMMARY/PURPOSE
The Administrative Coordinator plays a crucial role in supporting a variety of programs/activities for the Administration, MIS (IT), Facilities, Compliance, and Human Resources Departments. This position includes administrative duties, facilities management, data management, and planning / coordination of departmental activities and projects. Provides administrative support to the Executive Vice President of Administration and related departments.
Responsibilities include but are not limited to; administrative support, documentation facilitation (meeting minutes/documentation revision/control/translation/storage/approval), and data entry/gathering/summary, follow up/documentation activities.
Comprehensive facilities oversight: Primary liaison for all aspects of the facility, including coordination of on-going maintenance & repairs of the building & grounds. Coordination and planning of construction and alteration of facilities and furnishings on a as needed basis. Directs and supports safety, health, and environmental facilities management. Supports environmental activities such as setting objectives and targets, coordinating environmental activities, reviewing and tracking EMS audit results. Coordinates and handles all front desk duties (phone, mail, office, kitchen supplies, visitors & conference rooms). Other activities include compliance related activities such as documentation development/control, legal documentation coordination and risk management administrative duties.
KEY JOB DUTIES/RESPONSIBILITIES
Will handle various administrative duties under the direction of the EVP of Administration such as:
- Administrative Support
- General- Provide general administrative support, such as answering phones, answering door, checking in visitors, filing, ordering and maintaining office supplies, confirmation of applicable budgets, and data entry.
- Meetings- coordinate corporate level meetings, takes, transcribes and distributes meeting notes; ensures follow-up on action items. Follow up may include internal or external contact/communication as required to achieve objectives.
2.Leads facility administration activities related to safety, environmental, and general facility maintenance.
- Safety Key member of safety committee and conducts safety activities such as coordination of inspections, audits, documentation of findings and facilitation of corrective actions, this includes supporting the development, implementation and facilitation of emergency preparedness related activities.
- Environmental Member of EMS team and supports environmental initiatives including coordination of recycling and related administrative duties such as updating rules or records.
- Facility Maintenance Leads, schedules, coordinates and facilitates all site maintenance including quoting of work, approval of expenditures, tracking of vendor invoices, payment and submission of services agreement review.
3.Supports compliance, legal and risk management activities
- Compliance Development of company level rules/control documents including training coordination and rules document data base management.
- Legal Support facilitation of agreement and legal documentation control including central documentation system and tracking of agreements (approval, termination or extension)
- Risk Management Coordinate activities required to facilitate the risk management program such as surveys, corrective action follow up and reporting to various groups within the company.

EDUCATION
Associate of Arts (AA) in Business or Related Field
Experience managing multiple projects with strong customer support skills required.

LANGUAGE SKILLS:
Japanese language skill is preferred. Ability to read, analyze, and interpret general business documents, safety rules, operating and maintenance instructions, , or governmental regulations. Ability to write reports, business correspondence, and support development of procedure manuals. An ability to present information and facilitate question and answer discussion among groups of managers and teammates.
MATH ABILITY:
Ability to work with and apply mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
COMPUTER SKILLS:
To perform this job successfully, an individual should have knowledge of MS suite of software, Word, Excel and PPT. Working knowledge of Office O365, Project Management and Share Point applications a plus.
