About the Job
Purpose:
We are looking for a professional individual to work full time as an Office Administrator covering our Gwinnett County office location. No prior bail bonding experience is necessary as training and certification will be provided by the company.
Critical administrative duties include but are not limited to:
Bookkeeping / Quickbooks Online:
- Enter written receipts as invoices in QBO.
- Update invoices with any discrepancies / corrections noted during audit procedure.
- Reconcile individual credit card transaction with credit card terminal batch reports.
- Apply payments received to appropriate invoices.
- Pay bills on a per item basis as directed by company leadership.
- Send income statements periodically (weekly, monthly, quarterly) to company leadership.
Bond Administration:
- Enter all executed bond files into the bail management software and file the paper copies away accordingly.
- Maintain a record in date order of all upcoming court hearings and begin notifying defendants and cosigners of the court date information via phone calls and text messages approximately two weeks in advance.
- Exonerate charges in bail management software upon receipt of dispositions and after expiration of statutory liability timelines.
- Receive bond forfeiture documentation, notify appropriate parties of bond forfeiture, notate bond forfeiture details in the bail management software, and provide original bond forfeiture documents to the loss prevention manager.
Monthly Sheriff Reports:
- Reconcile the Sheriff’s Office’s monthly list of bonds executed against our own record of bonds executed during the previous month and notate any discrepancies in bonds executed, bond dates, bond amounts, etc.
- Prepare our monthly Execution Report, Settlement Report and any additional documentation needed to be submitted to the Sheriff’s Office, and issue a check payment for bonding fees, and deliver our completed monthly report to the Sheriff’s Office on or before the 15th of each month.
Miscellaneous:
- Visit the courthouse to file or retrieve documents related to our cases as needed and/or as directed by company leadership.
- Check the mailbox daily as well as any company email inboxes, and process all incoming mail/email accordingly.
The Office Administrator will also be cross-trained as a Bail Bond Agent, and able to assist as needed with answering incoming phone calls, selling our service to customers, and guiding customers through the bail bond process to facilitate the release of their loved ones from local detention facilities.
Some computer proficiency and internet skills are required, including 40+ words per minute typing speed, experience with Quickbooks Online and basic bookkeeping practices, and some familiarity with Google Workspace, Google Docs, Google Sheets, etc. is preferred. The ideal candidate would also have excellent verbal and written communication skills, a friendly personality, and a willingness to work.
Must be 21 years of age, have a valid Georgia driver's license, a reliable vehicle, and a clean criminal background.
