Greystone is looking for a well-organized Office Administrator and Executive Assistant to provide support for two executives including the founder and president as well as our managing director. This is a great opportunity to establish working relationships with high level executives and contribute to the overall efficiency of our organization. Greystone is considered a leading M&A advisor to the construction materials industry. In addition to our investment bank, we manage a private equity fund that invests in aggregate quarries. We are a small firm of 4 professionals and have been in business since 1996.
Office Administrator Skills and Qualifications:
- Coordinate activities throughout the firm to ensure efficiency and maintain compliance with company policy
- Manage agendas, travel plans, client meetings and appointments
- Manage emails, letters, packages, phone calls and other forms of correspondence
- Provide bookkeeping, A/R, A/P and financial reporting activities for the firm
- Create and update databases and records for financial information, personnel and the CRM
- Track and replace office supplies as necessary to avoid interruptions in office productivity
- Assist colleagues with reports, proposals and presentations as needed
- Manage the reception area and staff to ensure effective communication both internally and externally
- Provide office guests with a hospitable experience
- Supervise the maintenance of office areas, equipment, and facilities
- Interact with IT, phone and building personnel as needed

Technical Skills:
- Microsoft Office (Outlook, Word, PowerPoint, Excel, etc.) – Required
- Claritysoft CRM – Ability to learn
- QuickBooks – Ability to learn
