PART TIME from January 15, 2025 - March 15, 2025, FULL TIME from March 15, 2025 - May 15, 2025
POSITION SUMMARY:
This position is responsible for recruiting event staff for the Merchandising & Business Development (M&BD) Department at the New Orleans Jazz & Heritage Festival. The role also provides support to the M&BD Director and Manager as needed.
ESSENTIAL FUNCTIONS:
The position holder will execute the following:
Pre-Event Responsibilities:
- Recruit individuals and organizations for short-term hires for the Merchandising Key Staff and Event Day Sales Team.
- Ensure all hires complete necessary HR and payroll paperwork and receive required orientations and training prior to starting work (including ADA compliance, security, inclement weather, and job-specific training).
- Assist in developing work schedules for all staff based on data from previous years to effectively staff Festival-run merchandise booths.
- Provide administrative support to the M&BD Manager with day-to-day department functions.
Event Responsibilities:
- Collaborate with the M&BD Manager to ensure all short-term staff are properly credentialed for their positions.
- Work with Merchandising Booth Managers and the M&BD Manager to ensure timely completion of timesheets and all necessary HR and Finance paperwork.
- Address payroll discrepancies in collaboration with Merchandising Booth Managers, the M&BD Manager, and the Finance Department.
- Assist the M&BD Manager with daily department operations.
Post-Event Responsibilities:
- Resolve any outstanding payroll issues for event staff.
- Assist with the Staff Sale and Auction.
- Complete end-of-year reports as directed.
EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:
- Proficiency in Microsoft Word and Excel.
- Strong numerical aptitude and attention to detail.
- Ability to follow directions and handle tasks efficiently.
- Excellent communication skills, both written and verbal.
ADDITIONAL REQUIREMENTS:
- Employees and their supervisors must accurately report absenteeism using the Absentee Request Form to the Festival Finance Office.
- Maintain confidentiality regarding sensitive matters.
- All intellectual property created for the Festival (e.g., documents, programs, designs) remains the property of the Jazz Festival and must be returned to the Festival at the end of the production year or upon request.
- Complete all required Feedback Forms and Final Reports.
- Perform other work-related duties as assigned.
