New Psalmist is currently seeking a Ministries Assistant ( MA). The position of Ministries Assistant will provide support to the Ministries department and will be called upon to manage administrative issues, oversee personnel, scheduling, and research, and support other departments as needed. The successful candidate will have outstanding organizational and interpersonal communication skills, will be able to exercise sound judgment in a variety of situations, and will be able to manage multiple personnel, events, and activities simultaneously. The MA will work collaboratively with cross-departmental teams and conduct all business in a Christian manner exhibiting an excellent first impression to members and visitors alike that support is needed.
Responsibilities
- Oversee the staff and volunteers to execute the vision within their ministry areas.
- Manage the day-to-day operations of the ministry office.
- Coordinates and helps schedule travel arrangements, conference registrations, expense management, and other engagements/assignments for the ministry staff.
- Responsible for purchasing administration: submission of ministry purchase orders, requisitions, and voucher adjustments, manages and reconciles corporate credit card used for miscellaneous expenses, completes expense reimbursement requests and travel authorizations.
- Perform research and retrieve information from databases and other resources.
- Maintain computer and manual filing systems.
- Recommend innovative processes to improve the efficiency and effectiveness of the office.
- Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion.
- Implement administrative decisions and policies as directed.
- Receive incoming calls, answer questions, and provide information whenever possible. Take complete and accurate messages and route information to appropriate staff members.
- Leads and coordinates with other personnel during Ministry activities or events.
- Sort and distribute incoming mail and prepare outgoing mail, including bulk mail.
- Use discretion when managing all tasks.
Qualifications:
- An associate degree or higher is preferred.
- Min 2 years of Administrative Assistant experience or related field
- Demonstrated proficiency in the use of Microsoft Office Suite
- Comfortable with technology and able to quickly learn innovative programs/software.
- Experience and desire to work with a faith-based non-profit.
- Close attention to detail while managing multiple events, personnel, and projects simultaneously.
- Professional maturity and personal integrity with a desire to meet and exceed expectations.
- Self-motivated and strong people skills; ability to be a team player.
- Excellent written and verbal communication skills.
- Strong leader with a solid work ethic.
- Able to effectively manage personnel to assist in the execution of ministry programs and events.
- Excellent organization and administrative skills with the ability to prioritize requests, follow procedures, and keep accurate records.
- Must be available to work evenings and weekends.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel while typing at a computer keyboard. The employee is occasionally required to stand, walk, reach, or lift objects to 10 pounds. The employee is frequently required to talk or listen. The vision requirements include a close and detailed review of figures and tables.
