Maintenance Planner/Coordinator

POSITION SUMMARY
The maintenance coordinator is responsible for organizing, planning, and scheduling all of the maintenance department’s work orders, PM’s, and project requests. This person also prioritizes the work with the maintenance site leader, coordinates the execution with the maintenance shift leaders, and communicates with the operations team.

PRIMARY RESPONSIBILITIES
- Completes all duties and responsibilities with a safety first mentality.
- Working within the CMMS (computerized maintenance management system) program.
- Planning and scheduling work orders, PM’s, and project work based on priority, cost and equipment/parts/staff availability.
- Determining the required parts on each work order; verifying parts availablity and ordering parts as necessary.
- Coordinating with procurement to generate material purchase orders and agreed delivery dates.
- Determining the need for special support equipment and orders/schedules as necessary.
- Determining and controlling the work order planned start date and “approved” status.
- Forecasting and maintaining fleet and component hours by implementing best planning practices.
- Planning and coordinating equipment commissions/decommissions.
- Review competed PM’s and update agreed changes to parts list and tasks.
- Facilitate communication between maintenance and production teams.
- Review condition based monitoring task lists and update agreed changes.
- Promoting and maintaining a safe working environment through compliance with FGF health & safety program.
- Backlog management, including weekly and monthly backlog reviews, purging aged work orders as required.
- Conversion of the output of maintenance program development to structured work templates.
- Scoping jobs as necessary to include: All necessary job steps, required tooling, drawings and diagrams, parts, manpower, and safety elements to be addressed.
- Maintaining and updating work order/event templates.
- Tracking and reporting of key performance indicators (KPI’s).
- Generating and reviewing the 14-day schedule with maintenance leaders to refine details surrounding current conditions and operation to incorporate operational concerns and limitations. Modify schedules if required.
- Releasing all work orders daily for dissemination to the maintenance leads and trades, ensuing all identified resources are assigned to open work orders.
- Maintaining, coordinating and expediting the flow of materials and components for all scheduled work.
- Interacting daily with maintenance leader to ensure schedules are adhered to and modified as necessary.
- Reviewing of completed work orders for recording of required data, planned vs. actual; hours, tools, materials, and safety requirements to identify any required changes or improvements.
REQUIRED SKILLLS AND EXPERIENCE
- High school graduate or equivalent.
- Engineering or related technical degree, or equivalent previous experience as a planner/scheduler.
- SAP or similar CMMS software experience is preferred.
- Working knowledge of general maintenance practices, tools, parts, and resources.
- Working knowledge of food manufacturing equipment & practices. Bakery experience a plus.
- Good command of the English language is required.
- Must be highly organized with time management skills, troubleshooting skills and analytical skills
- Must have excellent computer skills including Outlook, Excel, Word, and CMMS. MS Project a plus.
- Flexibility to adjust to shifting priorities and deadlines.
