Position Summary:
The Maintenance Director is responsible for overseeing the Maintenance Department, ensuring the optimal operation of building systems, and maintaining a safe and functional living environment for residents and staff at our retirement community. This hands-on role requires a leader who can train and develop the in-house maintenance team, perform repairs, and manage preventative maintenance programs. The Maintenance Director will utilize company software to coordinate work orders and repairs and work collaboratively with other departments to achieve community goals.
Key Responsibilities:
Staff Management: Conduct pre-employment interviews, hire and discharge staff as necessary in compliance with personnel policies. Provide departmental orientation to newly hired Maintenance associates. Lead the training and development of the in-house maintenance team, ensuring they are equipped to handle tasks related to plumbing, HVAC, electrical, and general building maintenance.
Repairs and Expertise: Perform repairs related to plumbing, heating, cooling, and electrical systems. Ensure the ability to repair as much as possible in-house, minimizing the need to call in outside vendors. Utilize expertise to handle routine maintenance and emergency repairs for all building systems.
Work Order Management: Prioritize, assign, and oversee work orders using the computerized maintenance management system (CMMS). Ensure timely, accurate documentation of all work performed, coordinating repairs and work orders to optimize productivity and minimize downtime.
Preventative Maintenance: Manage and implement preventative maintenance programs for all building systems, including HVAC, plumbing, and electrical systems. Schedule and ensure all maintenance is performed in a timely manner to maintain the consistent operation of essential equipment.
Compliance and Regulations: Ensure all maintenance activities comply with the relevant state and local regulations. Monitor building systems to meet required documentation standards, especially in skilled nursing and assisted living areas, in compliance with health and safety codes.
Collaborative Leadership: Work closely with other department heads to execute company and community goals at the retirement community, fostering collaboration to ensure operational efficiency and high resident and staff satisfaction. Contribute to achieving the overall objectives of the community, including maintaining a safe and well-maintained facility.
Resident & Staff Satisfaction: Proactively monitor and address maintenance-related concerns to ensure the satisfaction of residents and staff. Respond quickly to work requests and resolve issues with a focus on quality service and timely completion.
Contract Management: Oversee current service contracts related to building maintenance and repairs, ensuring contractors meet performance expectations. Proactively make suggestions for potential new contracts or improvements to existing contracts based on department needs.
Budget & Inventory Management: Operate the Maintenance Department within the established budgetary guidelines. Approve supply and equipment requests, maintain inventory levels, and ensure all tools and equipment are properly maintained.
Safety & Compliance: Ensure all safety precautions are taken, including regular inspection and maintenance of fire alarms, fire suppression systems, and other safety equipment. Monitor compliance with safety standards and building regulations.
Emergency Preparedness: Assist in emergency situations and provide backup support to other departments as needed. Be prepared to respond to urgent issues efficiently and effectively.
Physical and Environmental Demands:
- Physical Activities: Frequent standing, walking, bending, lifting (up to 50 lbs.), climbing ladders, and operating various tools and equipment.
- Vision & Dexterity: Must have good vision to operate equipment and perform tasks, and the ability to distinguish colors and perform focused tasks.
- Environmental Exposure: Occasional exposure to hazardous materials, biohazards, and other environmental risks; required to wear safety equipment as necessary.
- Other: Ability to occasionally drive and perform physical tasks in diverse weather conditions.
Qualifications:
- Education: High school diploma or equivalent required; additional certifications or training in building maintenance is preferred.
- Experience: Minimum of 5 years of supervisory experience in a healthcare or residential setting, with hands-on experience in plumbing, heating, cooling, and electrical systems. Knowledge of the regulations and documentation requirements specific to skilled nursing and assisted living environments is required.
- Knowledge & Skills:
- Strong knowledge of building systems (HVAC, electrical, plumbing) and regulatory requirements.
- Ability to perform repairs and manage preventative maintenance programs.
- Proficient in using computerized maintenance management systems (CMMS).
- Excellent communication and interpersonal skills, with a focus on resident and staff satisfaction.
- Experience managing vendor contracts and making educated suggestions on potential new contracts.
Confidentiality & PHI Access:
- In accordance with the retirement facility's Confidentiality Policy, the Maintenance Director may access Protected Health Information (PHI) only to perform job duties as necessary, ensuring the privacy and security of all sensitive data.
- The Maintenance Director will receive training on HIPAA privacy rules and is responsible for maintaining confidentiality even after employment ends.
