Litigation Secretary at Adams & Martin Group

Adams & Martin Group has partnered with a dynamic boutique law firm located in South Orange County, seeking a skilled and detail-oriented Mid-Level Litigation Secretary to join our team. This position offers a hybrid work schedule, providing the flexibility of remote work combined with in-office collaboration. The ideal candidate will have a proven track record of supporting attorneys in litigation practices, excellent organizational skills, and a proactive approach to handling tasks.

Responsibilities

• Provide comprehensive administrative and secretarial support to attorneys specializing in litigation.
• Prepare, format, and proofread legal documents, including pleadings, motions, correspondence, and discovery.
• File legal documents in state and federal courts (including e-filing systems such as CM/ECF and File & Serve).
• Maintain and organize case files, ensuring accuracy and accessibility.
• Manage attorney calendars, schedule court dates, depositions, and client meetings.
• Coordinate travel arrangements and handle expense reports.
• Communicate professionally with clients, court personnel, opposing counsel, and vendors.
• Monitor deadlines, ensuring compliance with all court and procedural requirements.
• Assist with trial preparation, including organizing exhibits, binders, and other materials.
• Perform other administrative duties as required to support the litigation team.
  
  

Qualifications

• Minimum of 3-5 years of litigation secretarial experience, preferably in a boutique or mid-sized law firm setting.
• Proficiency in state and federal court filing procedures, including electronic filing systems.
• Strong knowledge of litigation terminology, procedures, and calendaring.
• Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
• Excellent written and verbal communication skills.
• High level of proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal document management software.
• Ability to maintain confidentiality and exercise discretion.
• Self-motivated with a strong work ethic and a team-oriented mindset.
• Familiarity with legal billing software is a plus.
