Round Hill Search is working with a reputable boutique firm in Downtown Los Angeles seeking a Litigation Secretary with strong administrative support and organizational skills to provide high-level professional support in a fast-paced environment. The role is critical in managing filings and heavy calendars, coordinating travel, handling expense reports, and answering calls, among other general litigation support responsibilities, to ensure efficient and smooth day-to-day operations. The ideal candidate should have excellent oral and written communication skills and be highly motivated and professional.
KEY RESPONSIBILITIES:
- Draft, edit, and format legal documents, including pleadings, motions, subpoenas, and correspondence.
- Manage attorney calendars, scheduling appointments, court dates, and deadlines.
- Prepare and file legal documents with courts, ensuring compliance with filing requirements and deadlines.
- Facilitate communication between attorneys, clients, and court personnel, handling inquiries and relaying messages.
- Conduct legal research using online databases and other resources to gather relevant case information.
- Assist attorneys in organizing case files, maintaining documentation, and tracking case developments.
- Transcribe legal documents, dictations, and correspondence accurately.
- Support billing processes by tracking billable hours and preparing invoices.
- Arrange travel plans and accommodations for attorneys attending hearings, depositions, or trials.
- Interact with clients professionally, providing updates and gathering necessary information.
- Coordinate logistics for depositions and hearings, including preparing witness files, organizing exhibits, and managing court reporters.
- Maintain and organize electronic and physical case files, ensuring accessibility and confidentiality.
- Utilize legal software for docketing, document management, and case tracking.
- Perform conflict checks and assist in opening new client matters.
- Provide general administrative support, including photocopying, scanning, and managing office supplies.
QUALIFICATIONS:
- Previous experience as a legal secretary, preferably with a focus on litigation.
- Basic understanding of legal terminology, court procedures, and document formats.
- Excellent organizational skills with the ability to manage multiple tasks and priorities.
- Meticulous attention to detail to ensure accuracy in legal document preparation.
- Strong written and verbal communication skills for effective interaction with clients and legal professionals.
- Familiarity with legal software, Microsoft Office Suite, and transcription tools.
- Ability to handle confidential information with discretion.
- Flexibility to adapt to changing priorities and deadlines.
- Collaborative mindset with the ability to work well within a legal team.
SALARY:
Salary: $85,000 - $90,000 per year, DOE
