We are seeking a highly organized and detail-oriented Legal Office Administrator to support our client’s Pittsburgh office. This multi-faceted position requires candidates with strong legal firm experience to assist with file management, court filings, and day-to-day administrative support within a professional law firm environment.
Salary/Hourly Rate:
$45k – $50k
Position Overview:
The Legal Office Administrator will be responsible for performing a variety of tasks, including daily hand deliveries, court filings, file management, and assisting administrative staff with various office functions. This role demands someone who is highly organized, able to work independently, and who has previous experience working within a legal environment. Knowledge of legal document handling, court filings, and file management systems is essential. This role requires a strong sense of initiative and the ability to handle responsibilities with discretion and professionalism in a fast-paced legal environment.
Responsibilities of the Legal Office Administrator:
- Legal Deliveries & Filings: Handle daily outside hand deliveries, Post Office runs, and court filings (two runs per day) in all weather conditions.
- File Maintenance: Manage file room operations, including sending files to offsite storage, retrieving files, and maintaining proper organization. Ensure that files are returned, scanned, and filed appropriately in redwells, binders, and records management systems.
- Document Scanning & Filing: Assist Administrative Assistants and Paralegals with file maintenance tasks, including electronic scanning and physical filing.
- Records Management: Perform data entry into the records management system (FileBridge) to track files, ensure proper documentation, and maintain accurate records.
- Facility Management: Maintain office kitchens and stock supplies, load/unload dishwashers, replenish paper and toner in copiers/printers, and assist with conference room set-up/clean-up.
- Mail & Print Jobs: Handle mail machinery operations, assist with office mailings and print jobs, and order and stock office supplies.
- Event Support: Order, set up, and clean up food and refreshments for office meetings and events.
- Special Projects: Perform special projects and ad-hoc tasks as requested, including supporting facilities management duties.
Qualifications for the Legal Office Administrator:
- Legal Firm Experience: A minimum of 3 years of experience working in a professional services or legal firm environment is required. Experience with file management, court filings, and legal document handling is essential.
- Organizational & Communication Skills: Must possess strong organizational skills and attention to detail. The ability to manage multiple tasks while maintaining accuracy is critical.
- Independent Worker: Ability to work independently, prioritize tasks, and make judgment calls when needed.
- Physical Requirements: Must be able to lift up to 50 pounds and manage various physical tasks, including moving files and supplies.
- Technical Skills: Some mechanical ability is required. Familiarity with office equipment, including copiers, printers, and mail machinery.
- Professional Interaction: Ability to represent the firm positively when interacting with clients, vendors, and all levels of personnel.
- Flexibility: Ability to work beyond standard office hours, as required.
Education Requirements:
- High school diploma or equivalent is required.
- College, business school, or other relevant continuing education is preferred.
