Job Details
We are looking for a highly organized and dedicated Legal Administrative Assistant to join our dynamic team. This is a permanent position that offers the opportunity to work with a team of experienced legal professionals. In this role, you will be responsible for providing comprehensive administrative support, managing calendar, scheduling meetings, preparing reports, conducting legal research, and managing files. You will also be required to handle legal documentation and data entry tasks. The ideal candidate will have a strong background in administrative support within the legal industry and have a firm grasp of legal terminology and documentation.
Responsibilities:
- Provide all-encompassing administrative support to the immigration legal team.
- Manage and maintain attorneys' calendars, schedule meetings and appointments.
- Prepare, edit and proofread legal documents and correspondence.
- Conduct comprehensive legal research as required.
- Manage the filing and organization of legal documents, ensuring accuracy and confidentiality.
- Prepare detailed reports and presentations as needed.
- Handle data entry tasks with high attention to detail.
- Use legal software such as InTapp, iManage, and Aderant for various tasks.
- Communicate effectively with internal and external stakeholders.
- Ensure compliance with all legal standards and regulations.
Qualifications:
- 2+ years of experience as a Legal Administrative Assistant or Paralegal supporting employment based immigration.
- A Bachelors degree or equivalent experience in a related legal field
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Experience with legal software such as InTapp, iManage, and Aderant is preferred.
- Strong knowledge of legal documentation and terminology.
- Exceptional organizational skills and ability to manage multiple tasks simultaneously.
- Outstanding written and verbal communication skills.
- Excellent attention to detail and high level of accuracy.
- Strong research skills and ability to conduct legal research.
- Proven experience in calendar management and meeting scheduling.
- Demonstrated ability to prepare detailed reports.
- Strong administrative support skills and experience in file management.
- A proactive and professional approach to work.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Bilingual Spanish is a plus
