This opportunity will demand a person that can handle multiple tasks at once and communicate internally and externally at a high level.
Responsibilities:
- Handle general administrative duties, including organizing litigation binders, managing phone coverage, processing incoming mail, and overseeing the office calendar with case deadlines.
- Manages attorney’s calendars including scheduling appointments and adding new appearances as received in the attorney’s mail.
- Organize and maintain case files, including physical and electronic files.
- Manages incoming mail and outgoing mail and properly files in case file and scans to office document management files.
- Prepares and proofreads standard legal documents, such as pleadings, motions, and discovery requests. Ensures legal documents are compliant with court rules and filed properly.
- Efficiently create, organize, and maintain client files.
- Proficient with using research tools such as Westlaw, PACER, and different state court dockets.
- Act as a liaison with courts and various litigation-related vendors and assist attorneys in preparing for trial and hearing by organizing and summarizing relevant documents.
- Communicate with clients, witnesses, and other parties to gather information and answer questions.
- Prepares and assembles materials, documents, and exhibits for various court appearances, depositions and meetings.
- Receives and screens telephone calls responding to inquiries on a variety of matters such as case status and attorney scheduling.
- Bachelor’s degree or associates degree with 10 plus years of litigation experience is a MUST .
- MUST HAVE experience working with Massachusetts Courts.
- Experience preparing Rule 9A motion packages for filing in the Mass. Superior Courts.
- Proficiency in MS Office Suite including Word, Excel, Outlook, and PowerPoint, Westlaw, PACER and Adobe Acrobat, Visio and comparison software.
- Notary public certification preferred.
- Exceptional organization, attention to detail and time management skills and ability to manage multiple projects at once.
- Excellent interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy. Efficiently follow written and verbal instructions.
