Job Description
Reporting to the Associate Director, Learning, the Learning & Organizational Effectiveness (L&OE) Co-Ordinator will support the execution and development of the L&OE strategy, with a focus on coordinating all learning activities, including managing the learning calendar and ensuring all events run smoothly from start to end.
Primary Responsibilities
- Reserve classroom space
- Create sessions in Workday Learning
- Work with on-site contact for local logistic needs including room set-up, A/V needs, training materials (e.g. flipcharts, markers), etc.
- Partner with the Assoc. Director, Learning to track registration & make cancellation decisions
- Schedule session pre-call where necessary
- Place catering orders
- Download roster from WDL and share with facilitators
- Manage and track inventory of materials (order supplies, print participant materials, etc.)
- Send pre- and post-session manager and participant communications
- Email Manager, Employees and Co-Pilot reminders, guidebook and links to survey
- Respond to manager and participant questions/concerns via HR, L&OE or RFT mailboxes
- Input completions in LMS and other files/spreadsheets as appropriate
- Pull reports from Service Now
- Retrieve new hire email addresses from Workday
- Add participants to portal
- Create Zoom links
- Run Zoom attendance report
- Send, tabulate, and communicate pre- and post-survey results
- SharePoint administration
- Manage internal chargebacks
- Manage the L&OE Mailbox
- Assist the L&OE facilitators on expense reports/booking travel, when needed
- Compile L&OE inputs & metrics for Data Book
- Raise POs and track invoices
- Run new employee reports in Workday and filter, as needed
- Appropriately format, upload to and download data from CVent
Basic Qualifications and Experience
- Strong planning and organizing skills
- Prior experience managing learning events
- Strong skills using Microsoft Office applications
Preferred Qualifications and Experiences
- Workday learning administration experience
