Compensation: $125,000 - $175,000 per year
Position Overview:
An established law firm is seeking an experienced Law Firm Administrator to lead the Houston office’s administrative operations. This senior leadership position will oversee a wide range of functions including Human Resources, Operations and Facilities, Financial Planning, and Staff Recruiting. The ideal candidate will bring proven management skills, strategic vision, and experience in a law firm or legal setting.
Key Responsibilities:
Leadership
- Establish a visible leadership role, embodying the firm’s Service Excellence Standards and promoting a forward-thinking, change-embracing culture.
- Collaborate with senior leadership to implement firmwide initiatives, ensuring that the office’s operations align with the firm’s business goals.
- Support key firm initiatives such as IT projects, HR programs, and client events, participating in or leading focus groups for efficient rollouts.
Human Resources
- Foster a positive, productive work environment that promotes high morale and staff motivation.
- Oversee HR functions including new employee orientation, performance evaluations, compensation planning, and recurring HR activities.
- Lead recruiting efforts for top talent, focusing on growth and business development goals.
Operations and Facilities
- Manage the daily office operations, ensuring efficient service delivery to all personnel.
- Oversee office space planning, layout design, construction projects, and facilities management.
- Supervise outsourced services such as mail, copy, and fax operations, ensuring these meet service requirements.
Administrative Support
- Supervise administrative and office services staff, ensuring high-quality support for attorneys and staff.
- Actively manage headcount and identify opportunities to enhance efficiency.
Financial Planning
- Prepare, analyze, and maintain operating and capital budgets.
- Partner with the Office Head to oversee practice management, monitor expenses, and conduct variance analyses.
Qualifications:
- Experience: Minimum of 5 years as an Office Administrator or senior-level business manager in a law firm setting.
- Leadership Skills: Proven success in HR and administrative management with a track record of implementing positive changes.
- Facilities Management: Experience with office layout design, construction management, and contract negotiation is a plus.
- Financial Acumen: Knowledge of accounting principles and budget management.
- Communication: Strong written and verbal communication skills, with the ability to effectively interact with attorneys, staff, and external vendors.
- Technical Skills: Proficiency in Microsoft Office Suite.
- Education: Bachelor’s degree is highly preferred.
