Maximus is currently hiring for an International Exam Scheduler to join our Veterans Evaluation Services (VES) team. This is a remote opportunity. The International Exam Scheduler is responsible for scheduling Compensation and Pension ("C&P") medical exams, for Veterans and Service Members, with trained VES providers. Maintain close communication and builds rapport with providers to capture exam availability and build a relationship of trust and confidence. Speak with veterans when needed to confirm early notice appointments. Assist veterans and/or providers with any questions they may have. Share all provider information with Provider Recruiting and Credentialing ("PRC") Department in order to find solutions for difficult geographic areas.
Due to contract requirements, only US Citizen or a Green Card holder can be considered for this opportunity.
Essential Duties and Responsibilities:
- Search for veteran cases within assigned regions using OMS.
- Communicate with providers and diagnostic facilities via phone or email to check availability and schedule examinations.
- Coordinate with traveling providers for examinations when needed.
- Make per diem reservations as needed.
- Notify veterans of any changes in schedule by provider/facility and process reschedules for exams and diagnostics in accordance with internal and VA guidelines.
- Schedule add-on, additional exams when last-minute requests from the QA department are received.
- Ensure allotted exam times are followed.
- Ensure exam type, mileage and appreciate time zone is entered when scheduling exams.
- Ensure Per diem offices have supplies available for our providers. If not, or running low, communicate needs to appropriate team.
- Schedule high-priority cases (e.g., BDD, IDES, and Short Notice exams) by calling veterans and obtaining verbal confirmation.
- Ensure compliance with the Deliver Act regarding gender preferences.
- Engage with QCA team, in regards to provider availability for follow ups, or any concerns providers may have.
- Collaborate with the NPL team in a timely manner when newly certified providers are seeing their first case and any additional training needed.
- For DX- advise QCA if veteran no showed or if Diagnostic results are available.
- Email in-home requests templates to MYVES.
- Add or remove provider block times in OMS as necessary.
- Conduct daily checks and schedule cases marked as Pending Follow-Up.
- Monitor and manage cases on a daily basis.
- Send DX work orders and DX CAPS (email) notifications to veterans/service members
- Ensure correct assignment of schedulers to cases.
- Schedule veterans based on facility availability, veteran needs, and VA contractual guidelines.
- Prioritize scheduling according to VA and VES expectations.
- Keep accurate notes via Case comments, noting any delays, scheduling game plans, any communication with recruiters, other internal departments, veterans, providers or facilities.
- Act as the primary contact for diagnostic facilities and providers to ensure timely and compliant service for veterans.
- Follow up with providers and facilities regarding delayed report submissions.
- Upload diagnostic results and update case files accordingly.
- Review and validate received invoices, ensuring accurate CPT codes, and forward them to the billing department.
- Validate travel and reimbursement invoices from providers, especially for specialty exams like neuropsychological testing.
- Communicate any needs, challenges, changes in testing requirements, pricing discrepancies, or provider leave to the recruiting staff.
- Maintain communication with billing specialists, international liaisons, report tracking specialists, and recruiters to enhance support.
- Participate in meetings addressing challenges in geographic areas within the assigned region and updates from leadership.
- Communicate when leadership when needed.
- Request no-show fees and bonuses for providers when applicable.
- Assist fellow schedulers when there is a decrease in volume in the assigned region.
- Report on current events if it has the potential to affect scheduling, or examinations already scheduled.
- Maintain and update Calendar reflecting known holidays in AOR.
- Respond promptly to emails and voicemails on a daily basis.
- Adhere to HIPAA regulations by maintaining confidentiality of records and personal information.
Minimum Requirements
- High School diploma or GED required.
- Ability to commit to a 2-week training period, with a schedule of 3:00pm - 12:00am CT Sunday-Thursday with zero absences permitted.
- Must be able to work a schedule of 3:00pm - 12:00am CT Sunday-Thursday

Pay Transparency
Maximus compensation is based on various factors including but not limited to job location, a candidate's education, training, experience, expected quality and quantity of work, required travel (if any), external market and internal value analysis including seniority and merit systems, as well as internal pay alignment. Annual salary is just one component of Maximus's total compensation package. Other rewards may include short- and long-term incentives as well as program-specific awards.
