Shadowbox Live, the nation’s largest resident theater ensemble, is seeking a part-time Internal Resources Specialist in Columbus, OH.
SBXL utilizes a “grow within” strategy positioning its talent for success across multiple areas. The ideal candidate will be an enthusiastic, energetic team player from a human resources or executive administrator background excited about the opportunity to develop their career and provide administrative support within a highly professional arts organization.

Typical Week in the life of the Internal Resources Specialist
- Compile and report employee requests for time off and make recommendations for approval based on the administrative and production schedules and staffing needs for any given day or performance.
- Compile and report up-to-date approved time off reports.
- Compile and report employee milestones such as work anniversaries.
- Maintain up-to-date employee contact information.
- Maintain up-to-date vendor contact information.
- Coordinate employee training sessions and ensure that all employees have attended mandatory training sessions and have signed off on completion of training sessions.
- Onboard all new employees, filing employment forms, scheduling orientation sessions, and following up with team members to make sure all onboarding systems are followed and completed.
- Process employment status changes and rate changes within SBXL’s HR system.
- Provide administrative support and act as an administrative conduit for recruiting efforts of performing artists.
- Make travel arrangements and itineraries for executive leaders.
- Provide statistical employee reporting from SBXL’s HR system.
- Assist with research projects as needed.
- Process facility maintenance requests and schedule vendors for preventative and emergency maintenance
- Maintain up-to-date equipment inventory using SBXL’s purchasing and receiving system.
- Purchase, receive and maintain organization supplies using SBXL’s preferred vendors (office supplies, microphone batteries and tape, light bulbs for facility as well as theatrical lighting gear, gaffe and spike tape for stage use, dressing room supplies such as base make up, base hair products, special effects products)
- Assist the CEO and COO as needed.
What we’re looking for:
- 2 years of administrative experience.
- Highly organized and detail oriented
- Good communicator, in all forms
- Trustworthy and reliable. Able to keep confidential information
- Prompt and responsive
- Able to work within a team environment as well as independently
- Self-starting and self-motivating
- IT literate (Smartsheet, google docs, word, excel, HR software)
- Flexible in approach
- Must have reliable transportation
