Responsibilities:
Coordinates the UFCOM-J immigration petitioning to sponsor foreign nationals for H-1B, TN, O1, and E-3 and J-1 nonimmigrant statuses, green card process, as well as waiver process and files for Conrad Waiver and SCRC’s etc.. Evaluates information provided on all nonimmigrant petitions, initiates the actions within the Fragomen Law firm on-line system and manages the process through UF ICS and Federal approval. Conducts required follow-up sessions in person, by telephone and email with department/center administrative staff members regarding necessary additions and revisions to the information provided in the sponsorship request packets. Ensures processes and procedures are in place so that all immigration application filings related to employment-based Non-Immigrant and Immigrant petitions are completed accurately and in a timely manner.
Provides consultation, advice, and support to all, physicians, departments and administration in accordance with Homeland Security, U.S. State Department and U.S. Labor Departments regulations as applied to non-U.S. citizens. Ensure adherence to immigration guidelines for the processing of non-immigrant and immigrant visas and in consultation with UFICS and Fragomen assists in determining appropriate status categories for international applicants utilizing information obtained from departments. Coordinate the signing of appropriate documents, and function as the UF COM-J representative, in conjunction with Associate Director and the Associate Dean, in all aspects of the permanent residency sponsorship process.
Develop policies and training related to non-immigrant employment permanent resident sponsorships and develop a clear streamlined process for coordinating information at all levels, including the development of immigration web content for the UFCOM-J Admin Affairs webpage. Provides administrative and programmatic support to the Senior Associate Dean for Administrative Affairs and the Director, Administrative Services on projects, initiatives, and any compliance issues related to immigration.
Employment & Job Actions
Responsible for coordinating the employment process by working with department administrators, faculty, staff and administration to ensure efficient and smooth process in accordance with all applicable university policies and procedures. This includes ensuring timely onboarding, processing ePAFs within the system accurately, entering payroll distributions, ensuring all off-line documents are complete and verifying that HR visa components and all clinical requirements are met. Will process and manage all job actions such as terminations, title changes, salary changes for all nonimmigrant employees in accordance with College and University policies and procedures. Will assist with and maintain MFC (Medical Faculty Certificates) and licensures. The Immigration Specialist will provide human resources expertise in the areas of employment; risk management; diversity awareness needs assessment; training and education; information (database) management; personnel records management, HR policy interpretation as well as information dissemination.
Medical Faculty Certificates
Responsible for writing and obtaining signatures on support letters for Medical Faculty Certificates (MFC’s) as well as providing guidance and ensuring all medical licenses are received so ensure job requirements are met for sufficient and timely submission of immigration materials. Will ensure all licensure requirements are maintained throughout employment for all nonimmigrant employees.
Database management
Manages all records in the database as it pertains to immigration and hire of all foreign nationals. Ensures all components of the foreign national faculty appointment are complete and accurate. Use the database as a primary source to scan for visa renewals, initiation of permanent residency cases, etc.

Bachelor's degree in an appropriate area and one year of relevant experience; or an equivalent combination of education and experience.
