Position Overview:
The Human Resources Generalist will operate with a service-oriented mentality while providing accurate information, timely responses, and facilitating human resource processes for all staff and family members at KIPP Nashville. This role will support different functions in the full life cycle of employment, manage tasks via the Human Resources Information System (HRIS), and perform HR-related data entry where attention to detail is essential. This position will report directly to the Director of Human Resources.
Key Responsibilities:
Responsibilities of the HR Generalist include, but are not limited to:
Provide daily support to staff inquiries using human resource processes and customer services to other departments
Research issues, draft responses, and communicate effectively; escalate when necessary
Operate with a solutions-oriented approach
Effectively manage time and projects
Promote the use of HR systems, policies, and procedures
Accurately complete employment and experience verifications
Perform other duties and responsibilities as assigned
Employee On-boarding and Off-boarding
Collaborate and communicate effectively with leaders at the assigned location to support a positive employee experience
Manage various processes, including but not limited to, partnering with key stakeholders to execute an onboarding and offboarding plan, updating communication documents and tasks for school leaders and new hires, managing the receipt/completion of required items (i.e. I-9 Forms, background checks, etc.) and status updates for district requirements.
Attend and provide support during new hire orientation/training
Effectively complete HR procedures to assist staff during onboarding/offboarding
HRIS and Data Management:
Utilize our HRIS to support staff in different phases of the employment life cycle including, but not limited to, adding/removing staff promptly, organizing HR records, customizing, and submitting various employee reports for key stakeholders, managing workflow requests and updating employee status changes
Stay informed of system updates within each HRIS and how they can improve HR processes
Collaborate with key stakeholders to identify system enhancements and recommend solutions to improve system functionality
Manage various HRIS user accounts, access levels, and missing components
Conduct internal audits regularly to ensure the accuracy of data inputs and staff updates
Follow best practices to ensure data privacy and employee confidentiality are maintained
Benefits, Compensation, and Payroll Administration
Assist key stakeholders with company policies related to benefits and time off, including managing LOAs, FMLAs, short-term disability, and ADA requests according to federal and state laws
Monitor and process employee changes promptly including but not limited to retirement eligibility, life events, enrollments, proactively communicating with school leaders and staff during open enrollment
Partner with other departments and vendors to ensure payroll accuracy including but not limited to responding to inquiries, tracking approved changes, reconciling payroll, and resolving payroll-related issues
Reconcile invoices, process bulk changes and key data imports
Manage ongoing partnerships with external stakeholders
Compliance and Reporting
Submit timely and accurate personnel reports to the Local Education Agency (LEA) as necessary
Complete federal and state compliance reports as required (i.e. DOL, ACA, etc).
Acquire the knowledge to provide accountability for key stakeholders in obtaining and maintaining their TN Teaching License based on state guidelines
Manage employee certification status or changes in the applicable systems
Required Qualifications:
Bachelor’s Degree required (Human Resources, Business Management, or related field).
2-4 years of experience in Human Resources is required
Strong business acumen and interpersonal skills
An ability to work effectively in a fast-paced environment, manage multiple responsibilities, and meet deadlines
Meticulous attention to detail
Proficient in Microsoft Word, Excel, and Google Drive
Strong written and verbal communication skills
Prior Data/HR Analytics experience is a plus
Demonstrated passion for the mission, vision, and values of KIPP Nashville; comfort and willingness to actively participate in the KIPP Nashville community
Additional Information
Our comprehensive compensation package includes life insurance and long-term disability coverage provided by KIPP Nashville, voluntary medical and dental plans, in addition to retirement benefits and an annual salary increase. To establish equitable salary practices, the compensation package is derived from the regional KIPP Nashville Public Schools pay scale. This position is exempt and will follow a 12-month schedule.
