Summary/Objective
To support the Human Resources Department in a manner that supports agency goals and maintains compliance with all regulating entities and auditing authorities. Reports to the Director of Human Resources.
Essential Functions
- Administrative Support: Provide administrative support to the HR department, including managing calendars, scheduling meetings, preparing documents, and handling correspondence.
- Recruitment and Onboarding: Assist with recruitment activities such as posting job openings, screening resumes, scheduling interviews, and conducting background checks. Facilitate the onboarding process for new hires, including paperwork and orientation.
- Employee Records Management: Maintain accurate and up-to-date employee records, both physical and electronic. This includes data entry, filing, and ensuring compliance with record-keeping regulations.
- Benefits Administration: Support benefits administration processes, such as enrollment, changes, and answering employee inquiries related to benefits packages.
- HRIS Maintenance: Utilize HR Information Systems (HRIS) to input and maintain employee data, generate reports, and assist with system updates as needed.
- Employee Relations: Assist with employee relations activities, including responding to employee inquiries, documenting employee issues or concerns, and escalating matters to HR management as appropriate.
- Policy and Procedure Compliance: Assist in ensuring compliance with company policies, procedures, and legal requirements related to employment practices. This may include assisting with policy communication and training.
- Training and Development Support: Coordinate training sessions and development programs, assist in tracking employee training completion, and maintain training records.
- HR Projects and Initiatives: Participate in HR projects and initiatives as assigned, which may include researching best practices, drafting policies or procedures, and contributing to the overall HR strategy of the organization.
- General HR Support: Provide general support to the HR team as needed, which may include participating in meetings, taking minutes, and assisting with special HR projects or events.

Work environment
Work is conducted primarily in a climate-controlled setting. Employee must be able to communicate well with management, staff, and stakeholders, while maintaining professional boundaries. Required education and experience
- Associate degree in business or related field
- Three (3) years of relevant Human Resources experience
- Five (5) years of progressive Human Resources experience may be substituted
Preferred education and experience
- Non-profit and/or social services industry experience
- Experience with Human Resources Information Systems
Additional eligibility requirements
- Pass a Level II Background Check
- Valid State Valid Drivers License
Other duties
- Answer routine human resources questions from management and staff
- Serve in capacity of Lead in Director of Human Resource's absence
- Maintain Human Resources Information System; ensure personnel records are maintained accurately and timely in a confidential manner
- Assist with coordination of trainings and professional development needs of agency; assist
- Assist with background screening requirements as required by the agency, COA, DCF, the
Managing Entity and any agencies as appropriate
- Provide guidance to staff on work-related injuries/incidents (Workers' Compensation
Claims) on an as needed basis (unrelated to specific programs)
- Process purchase orders for the department to ensure compliance with agency procedures
- Provide reception back-up; handle calls to agency from clients and stakeholders and properly direct the caller to the requested information, resource, or staff
- Maintain confidentiality regarding client and personnel rights and HIPAA regulations by handling client, personnel, and agency data in accordance with the confidentiality policies
- Collect all necessary data in a timely manner for the reporting and evaluation of program/department activities and outcomes
- Provide recommendations for process improvements as appropriate
- Communicate and work collaboratively with administrative team members and communicate regularly with supervisor on department needs and issues
- Work flexible schedule when necessary
- Attend all required agency trainings and meetings
- Continue professional development in the field of human resources and labor practices and complete required documentation
- Assist with special projects and other duties as assigned
