The Hospital Administrator (HA) is a leader and an integral member of the veterinary practice management team. The Hospital Administrator partners with the Medical Director (MD) to ensure a profitable operation by growing revenue and managing costs while creating a practice culture based on high-quality patient care and exceptional customer service. Responsibilities include managing, planning, coordinating the practice's overall operations, and cultivating a supportive and collaborative team environment. The HA reports to the Regional Operations Manager (ROM). Come be our new change champion!
What your day will look like
Leadership and Planning
- Develops long-term practice vision and goals and works with ROM to achieve it.
- Acts as a change champion to implement veterinary best practices.
- Participates in the Innovetive budget process.
- Establishes and tracks operational and financial goals for the practice and staff.
- Conducts regular agenda-led staff meetings at least bi-monthly.
Practice Operations
- Proficient in practice's practice management software.
- Ensures proper staff scheduling and optimization; manages labor according to budget and actual revenue
- Monitors revenue daily; Regularly monitors visits growth, revenue, ATC, DVM Production and ATC, Email Collection Rates, new clients, and other financial and operational metrics; takes action to address shortfalls.
- Conduct Monthly Operations Reviews (MOR) with Regional Operations Manager.
- Develops and implements practice policies and SOPs: Oversight on DEA regulations and controlled substances processes and results. Responsible for radiation registration, certificates, and safety protocols. Maintains OSHA requirements, standards and protocols. Oversees employee benefits program and practice insurance plans.
- Monitors computer systems and resolves technical systems/equipment issues.
- Manages clinic by maintaining cleanliness, professionalism, and current maintenance.
Leading Staff and Practice
- Partners with Innovetive Recruiting to fill requisitions; participates in the recruiting and interviewing process for DVMs and staff members.
- Partners with the Managing Veterinarian to address staffing needs including hiring, training, reviewing, and disciplining of staff.
- Responsible for I-9 compliance and drug testing compliance.
- Manages staff training program to ensure successful onboarding of employees.
- Performs annual performance reviews.
- Ensure DVMs capture charges, adhere to work schedule, and complete work to standard.
- Manages staff: coaching, developing and motivating staff.
- Tracks and maintains current licensure for all DVMs.
Client Service
- Drives client visits through strategic client communication and local marketing efforts.
- Manages client retention via efficient reminder process and communicating with overdue clients.
- Demonstrates and reinforces the highest client service; manages digital reputation daily; responds appropriately to negative online reviews.
- Resolves client issues and escalations, and oversees client follow-up communication.

Financial
- Completes payroll accurately and submitted for all practice staff.
- Manages accounts receivable and cash on hand, including performing invoice audit reviews.
- Audits invoices and records to ensure accurate charge capture.
- Controls prices and manages price increases; performs local market pricing analysis.
- Manages practice inventory and controls facility and administrative costs.
- Managers quarterly inventory counts according to Innovetive's inventory schedule.
Qualifications & Competencies
- Bachelor's degree in business or a related degree is preferred
- 3-5 years of experience in a manager/leadership/supervisory role, including customer service experience
- Experience with operations and finance is a plus
- Intermediate computer skills i.e. Microsoft Office suite and ability to become proficient in Practice Management Software
- Strong leadership with a high level of emotional intelligence
- Excellent effective communicator, both verbally and in writing
- Ability to delegate tasks and achieves results with practice team members
- Possesses positive interpersonal skills with staff and clients, and works well in a team environment
