Compass Health is currently looking for an Full-time Health Information Management (HIM) Specialist!
SUMMARY
The Health Information Specialist assembles and analyzes discharged client records, answers phones, pulls and distributes charts to appropriate sites, provides documentation and invoices for release of information requests including court order and subpoenas, and maintains client chart filing.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, other duties may be assigned
- Provides consultation regarding confidentiality/legal issues within the agency and consults with the Health Information Manager if needed.
- Maintains a higher-level knowledge of all statutes governing the confidentiality of health care information and behavioral health records. Statutes include 71RCW (Mental Illness), 246-341 (Behavioral Health Services Administration), 246-337 (Residential Treatment Facility).
- Provides consultation to staff throughout the agency that have questions about Health Information functions, and responds to records release requests, subpoenas/court orders, etc.
- Acts as back up support to the Health Information clerks and files closed charts into permanent file folder, following pre-determined closed chart format or scans closed charts into DMS system following pre-determined electronic format for closed charts.
- Acts as back up support to the Health Information clerks and combines client charts from all locations and places into permanent filing or DMS database.
- Organizes loose filing or overflow files and incorporates with client’s closed chart in either paper or electronic format.
- Assists Health Information clerks with purging charts in accordance to State and federal law and agency policies.
- Assists Health Information clerks and sends, or scans requested charts to appropriate site or electronic health record per department procedures.
- Copies, uploads or exports charts for release of information or court orders that meet legal requirements.
- Utilizes electronic portals for file upload when available for use from outside agencies.
- Invoices for Medical Records in both internal system and outside vendor billing systems.
- Runs monthly billing statements and requests payment from vendors.
- Receives and responds to subpoenas issued for records from client charts and testimony.
- Answers phones as necessary.
- Assists with any “walk-in” customers.
- Participates in regularly scheduled supervision and team meetings.
- Remains compliant with required trainings and certifications.
- Behaves in an ethical and professional manner consistent with agency policy, state law, and licensing entities if applicable.
- Understands and practices safekeeping of client protected health information per Compass Health’s HIPAA and other agency policies and procedures.
- Demonstrates teamwork and the knowledge, skills and ability needed to maintain both appropriate and professional communication both with workforce members within the agency and Health Information department as well as communication outside the agency.

EDUCATION / EXPERIENCE / CERTIFICATIONS / LICENSES
- High School Diploma or GED required. Degree or Certificate in related field preferred.
- Experience working with an electronic medical records and document management system.
- 2-3 years total relevant experience working in either a medical records or health information department or the healthcare industry in an administrative role performing similar tasks.
KNOWLEDGE / SKILLS / ABILITIES
- Working knowledge of alpha and numeric filing systems.
- Highly self-motivated and directed with the ability to also work cooperatively with others as a productive team member.
- Ability to problem solve, participate and engage in team atmosphere and effectively communicate amongst your peers and Health Information workforce members.
- The ability to problem solve and utilize knowledge and resources to make complex decisions around processing and releasing client PHI.
- Demonstrate organizational skills with an emphasis on attention to detail.
- Demonstrate ability to build and implement efficient workflows and to evaluate established workflows as systems evolve.
- Ability to work calmly, effectively, and prioritize assignments in a fast-paced, high production, and high-pressure environment as well as adaptability to adhere to these changes as they occur.
- Excellent communication skills, written and verbal.
- Strongly possess both the skills and ability to maintain both efficient and accurate work habits while completing daily tasks.
- Strong computer proficiency, including keyboarding skills and working knowledge of Microsoft Office products.
- Knowledge and understanding of both electronic health records and document management systems.
- Ability to pass pre-employment criminal background check.
PHYSICAL DEMANDS / WORK ENVIRONMENT
The employee will be working in an administrative office environment. While performing the duties of this job, the employee must occasionally lift or move, with or without accommodations, 20 to 50 pounds and is regularly required to sit, stand, walk, talk, and use close vision. The noise level in the work environment is usually moderate.
