YOUR MISSION (The Job Description):
Virgin Hotels Las Vegas is seeking to hire a Group Reservations Manager to lead our Group Reservations team. In this role you will be responsible for managing all group rooms blocks, maintaining inventory controls and coordinating with Revenue Management, Front Desk, Sales Managers, and Convention Service Managers to ensure a seamless group rooming experience while ensuring all group contract needs are met.
THE NITTY-GRITTY (The Essential Job Duties):
This role will work closely with Executive Director of Hotel Operations to:
* Hiring and training Group Reservation team members
* Ensuring all Group Reservations policies and procedures are adhered to
* Provide leadership, guidance and support to the group reservations team, fostering a positive and collaborative work environment
* Building and manage group room block links via Passkey Group Booking Engine
* Inputting all rooming lists for sales groups and balance room blocks by releasing any remaining inventory not contracted
* Manage rooming list changes for guest names, arrival/departure dates, and billing per clients requested within contracted guidelines
* Print room delegate list for client and sales managers upon request
* Partners and corresponds with group contacts, cultivating professional relationships to enhance the group experience
* Act as liaison between group client and Front Desk to ensure rooming needs are met
* Attends pre-convention meetings and other request meetings
* Remain in constant communication with Revenue Management, Sales Managers, and CSMs to ensure group client rooming experience is seamless
* Maintaining a list of Individual call-in groups for Reservation Agents to refer to
* Maintain a file for each sales group entered into LMS. All rooming lists, block adjustments, and delegate changes are kept in this file. Once a group has been checked out, the group folders are stored
* Reconfirm blocks between LMS and Delphi on a weekly basis to ensure that the correct blocks are entered in both systems and communicate to Call Center Manager and Delphi Administrator
* Responsible for analyzing group room pick-up and attrition and communicating this information to clients in a professional and courteous manner
* Responsible for following up with Revenue Management and Sales to make sure that all rooming lists are received by the cut-off date or as soon as possible
* Keep informed of all room types, packages, and rates; describes rooms, venues and amenities
* Keep up on all functions and special events pertaining to Virgin Hotels Las Vegas
* Perform other duties as assigned to assist the Reservations, Revenue Management and Front Office departments

MUST HAVE'S

* Use all equipment associated with the position in an effective and efficient manner
* Minimum of two years experience in Passkey system
* Review, comprehend, and respond to all necessary documentation with a strong attention to detail
* Must be able to sit for long periods of time
* Ability to operate in a working environment that is sedentary in nature and subject to varying levels of noise
* Must have excellent time management and administrative skills to complete execution of all planning details in an effective and efficient manner
* Use all equipment associated with the position, including but not limited to: Microsoft Word, Excel, and Outlook. The skills and abilities necessary for this position are typically acquired through the completion of a high school degree or equivalent, as well as two months of on-the-job training
WOULD BE NICE TO HAVE'S
* Minimum typing speed of 45 WPM preferred
* Minimum one year experience in hotel Group Sales, Reservations or Front Desk operations preferred
* Familiarity with the equipment and computer systems associated with the position, including but not limited to Agilysys LMS (PMS) and Delphi helpful

Sitting for long periods of time. Long visual exposure to computer screen(s). Working both independently and interdependently depending on work tasks, projects, special initiatives. May experience job related stress due to tight deadlines, demands, crisis management.
