About the Job
A human services organization in New York City is currently seeking a new Office Assistant to join their growing team in Queens. In this role, the Office Assistant will be responsible for the organization and coordination of office operations for the executive headquarters, procedures and resources to ensure optimal efficiency of the program and Agency.
About the Opportunity:
- Start Date: ASAP
- Schedule: Monday to Friday
- Hours: 9am to 5pm (1-hour lunch unpaid)
Responsibilities:
- Greet visitors, answer and direct phones calls, receive and sort incoming mail and deliveries, manage outgoing mail, order and maintain office supplies
- Manage office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
- Identify opportunities for process and office management improvements, and design and implement new systems
- Manage relationships, contracts, and service requests with operational vendors, including but not limited to IT, housekeeping, and maintenance
- Coordinate, maintain, and distribute employee technology inventory (agency laptops, cell phones, etc.)
- Communicate with facility management on any office repairs and maintenance; ensure office cleanliness.
- Manage / monitor and maintain office/breakroom/restroom supplies inventory
- Handle incoming inquiries in a courteous and timely manner
- Maintain a safe and secure working environment; Ensure security, integrity and confidentiality of office data
- Assist the Employee Experience Manager with planning and organizing events and team off-sites
- Perform other duties, as needed
Qualifications:
- 1+ year of Administrative, Clerical and/or related work experience
- High School Diploma / GED
- Bilingual (English and SpanishÂ)
- Knowledge of Clerical practices & procedures
- Microsoft Office proficient
- Solid problem solving and time management skills
- Exceptional phone etiquette
- Great interpersonal skills
- Excellent communication skills (written and verbal)
- Strong attention to detail
- Highly organized
Desired Skills:
- Prior experience in Office Management and/or Administration
