Description We are seeking a Front Desk Coordinator to join our team in Seattle, Washington. This role involves a variety of administrative tasks within a dynamic setting. The successful candidate will be integral in ensuring that our office operations run smoothly and are successful in supporting other business activities.
Responsibilities:
- Ensuring the office is well-organized, including setting up conference rooms and maintaining office supplies
- Handling the onboarding and offboarding processes, including managing access badges and software access
- Managing mail distribution and answering phone calls professionally and promptly
- Conducting regular scans of checks and handling electronic bank deposits
- Ensuring effective communication through regular email correspondence
- Overseeing the office calendar, including tracking PTO and organizing 'lunch and learn' sessions
- Utilizing various software and systems such as Microsoft Outlook, Microsoft Word, and Bluebeam Revu
- Providing high-level administrative assistance and organizing files efficiently
- Showcasing the ability to be proactive and work with minimal direction
- Displaying industry knowledge and a self-starter attitude.
This role offers a long-term contract employment opportunity. Requirements - Minimum of 2 years of experience in a similar role or in administrative assistance.
- Proficient in answering multi-line phone systems and directing calls as required.
- Demonstrated ability to perform data entry tasks with high accuracy.
- Proficiency in Microsoft Office Suite, specifically Microsoft Outlook and Microsoft Word.
- Experience in organizing files and maintaining a detail oriented and efficient workspace.
- Knowledge of Bluebeam Revu and GoToAssist software platforms.
- Excellent interpersonal and communication skills.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented with strong problem-solving skills.
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Proven ability to work effectively in a team environment as well as independently.
- Strong customer service and relationship-building skills.
- Ability to handle stressful situations and remain calm and detail oriented.
- Flexibility to work outside of regular business hours if required.
