Summary:
The ARC (Animal Recovery Center) and CARE (Canine Annex for Recovery and Enrichment) facilities are dedicated to the recovery and rehabilitation of victims of cruelty and neglect admitted through NYPD and the ASPCA’s Humane Law Enforcement (HLE) and Community Engagement (CE) programs.
Our dedicated team of more than 45 sheltering, medical, and animal behavior professionals work closely with the ASPCA Animal Hospital, Forensics, Legal Advocacy and Investigations, Behavioral Sciences, Shelter Medicine Services, Community Engagement, Placement, and the Adoption Center teams to ensure coordinated response and operations, and holistic, balanced, high quality care for the animals we serve.
The Floor Manager, CARE (The Manager) will be part of a high performing team and will serve as an integral part of the CARE team. The Manager will oversee and lead day to day operations. The Manager will provide impactful coaching and team performance management, elevating the quality of patient care in CARE.
The Manager will collaborate with the medical and behavior teams to champion canine populations equally and enthusiastically. The Manager will be responsible for ensuring the team provides and maintains a high standard of animal care and welfare, including general husbandry, kennel and facility cleanliness, appropriate kennel housing, consistent and engaging enrichment, timely and accurate medication and treatment administration and proficiency in reading animal body language and recognizing and mitigating indicators of stress and illness.
This position directly manages the CARE CCA team working on the 2nd shift. The hours are 1:00 pm-9:00 pm Tuesdays-Thursdays, and 11:00 am-7:00 pm on Fridays and Saturdays.
Responsibilities:
Responsibilities include but are not limited to:
People Management (60 %): On the Floor Management, Rounds/Huddles, Animal Care
- Support staff scheduling including, adjusting daily assignments, receiving and approving time off requests, documenting shift changes, handling call outs.
- Manage, and be present on the floor, to support the direct care work. Problem solve with the team in the moment by providing consistent feedback. Organize and re-organize the work as needed for new intakes, staffing, and emergent needs.
- Model the Leadership Big 3: set clear expectations, give feedback, and receive feedback, and ensure opportunities for growth and development.
- Forge authentic relationships to support a strong and positive team culture that works together with high level of accountability. Support staff in professional handling of conflict.
- Build and maintain high-performing teams. Utilize training, coaching and continuous feedback to drive high performance and ensure the teams have what they need to be successful.
- Always maintain adequate staffing levels; re-assign appropriate responsibilities to each staff member to maximize coverage in the event of call outs, injuries, increased intake volume, etc.
- Support staff in appropriate and professional handling of any adverse client or patient events.
- Conduct regular check-ins and annual performance reviews of direct reports, taking appropriate disciplinary actions when necessary.
- Approve payroll and track employee attendance in adherence to ASPCA’s Attendance Policy, recommending updates to scheduling and staffing protocols.
- Conduct time and attendance audits regularly, ensuring regular and reliable attendance, and taking appropriate disciplinary action as needed.
- On call responsibilities: Respond to and manage before/after-hours calls regarding animal care, facilities and staffing needs, storm preparedness, and new case logistical planning on rotation with the leadership team. Keep the CARE Senior Manager apprised of any issues.
- Perform all the duties of the CCA position as needed.
Team Leadership (20%): Hiring, Onboarding, Training, SOPs
- With the Senior Operations Manager, recruit, hire, onboard, and train new staff.
- Oversee onboarding and training of all new hires. Create rotating training schedule, coordinate walk approval, medication administration and meals approval, and ensure new staff are able to work independently at the end of onboarding. Send training reports and onboarding feedback to Senior Leadership and adjust training plans as needed.
- Train per diem employees and determine appropriate coverage on the AM and PM shifts.
- With the Senior Manager, prepare the monthly CARE Team Meeting agendas for thought provoking, engaging, team centric meetings that broaden the knowledge of the team and promote active participation and opportunities for team and individual growth.
- Connect the CARE CCA team with the work of the AAH/ARC/CARE department and the organization. Provide timely updates about our cases, important team milestones, outcomes, and placements to continuously engage the team and promote learning.
- Oversee, create, and support adherence to all ASPCA, AAH/ARC/CARE protocols, including behavior, medical, nutrition, safety, and sanitation.
- With the ARC and CARE Management Team ensure both paper and digital protocol books are up to date. Manage regular protocol book review process with all CCAs.
- Monitor employee effectiveness to ensure excellent quality of care for animals, pursuant to ASPCA policies and Fear Free Guidelines.
- Monitor and report team concerns and observations to the Medical and Behavior teams. Effectively communicate and oversee needed changes to handling, walk orders, PPE, medical and behavior treatments.
- Foster a positive and productive work environment where patient care, client service, and our mission are a priority.
- Listen to and understand employee concerns, encouraging staff to problem solve and provide viable solutions. Appropriately address and elevate concerns to CARE Senior Leadership for timely resolution.
- Cover the Senior Operations Manager in their absence.
Operations/Facility (20%): Data tracking, Intake planning, Special projects, Safety
- Ensure safety needs are met; incident reports and performance reports are completely and accurately filled out, submitted to SLT, benefits, legal and safety team; readily reporting workers’ compensation claims, benefits, Family and Medical Leave Act (FMLA) requests, etc. to benefits team.
- Ensure the CARE facility is safe and in good working order. All maintenance needs are quickly identified and addressed through clear and consistent communication with our Facilities team partners.
- Support ARC and CARE Senior Leadership with the Quarterly Donor report, department presentations, record keeping, data collection and tracking, and special projects as needed.
- Coordinate new case medical and forensic needs to the ASPCA Animal Hospital, including but not limited to, radiographs, ultrasounds, emergency surgery, wound treatments and other emergent medical and forensic patient needs upon admission.
- Create, audit, and maintain (daily) patient medical, safety, and operational signage.
- Audit walk equipment, ID collars, kennel ID cards daily to ensure that information is up to date and in good order.
- With the Senior Operations Manager, oversee daily change of shift rounds and after rounds huddles to ensure optimal workflow and empower teams to problem solve.
- Maintain strict confidence with NYPD cases and pet owners.
- Provide and document status updates to pet owners.
- Support, schedule and facilitate owner visits, animal foster flow, RTOs, transfers to the Adoption Center, Placement Partner, and transport needs.
- Provide status updates to Legal Advocacy and NYPD Liaisons.
- Manage coordination, and be present on the floor, for all new NYPD and CE case preparation and intakes, and support and be prepared to respond during off hours ensuring safe and effective intake process for new cases.
- Manage coordination, preparation and be present on the floor for special events, shadow events, and tours, ensuring the facility is ready for tours.
- With the Administration Team manage inventory storage, tracking, and ordering ensuring responsible use of budget and resources.
- Collaborate with Facilities and IT teams to flag and address concerns impacting operations. Alert CARE Senior Leadership of progress and elevate concerns as appropriate.
- Perform other duties as assigned.

Qualifications:
- Outstanding ability to handle animals for examinations and medical procedures using Fear Free practices.

Education:
- B.S. or B.A. preferred or equivalent work experience
Experience
- 1 +years working in an animal shelter, animal hospital, or similar environment (required)
- 1 +years working in a managerial/supervisory position, preferably in an animal shelter or animal hospital (required)
- Medical handling knowledge and skills (preferred)
- Animal behavior knowledge and experience (preferred)
- Proficient in using Excel, Airtable, Word, ImproMed, Civicore, and Power Point (preferred)
Training Requirements:
- Fear Free® certification within 30 days of employment.
Additional Information:
- Rotating holidays and storm coverage days are required.
- Deploy nationally with National Response Team (NRT) and locally with CE/NYPD at least one time per year.
- Must demonstrate the ability to interact effectively with ASPCA employees, clients, and the public.
Compensation & Benefits:
Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary range for this role is set forth below and may be modified in the future.
