Job Description
- Operations Management & Process Optimization: Assist in streamlining workflows and driving operational excellence across teams. Work with senior leadership to identify areas for process improvement and implement solutions that enhance productivity, reduce costs, and increase operational effectiveness.
- Budget Creation & Management: Develop, manage, and track budgets for operations, facilities, and internal facilities related construction projects. Ensure alignment with financial goals, continuously monitor spending, and identify opportunities for cost savings. Provide regular updates and financial reports to senior leadership
- Project Planning & Execution: Oversee and manage a diverse portfolio of projects, including construction, facilities maintenance, and internal operations initiatives. Develop detailed project plans, timelines, and task lists, ensuring all projects are completed on time, within scope, and within budget.
- Vendor Coordination & Management: Establish and maintain relationships with vendors and contractors across various operational areas, including facilities management, construction, IT, and more. Negotiate contracts, monitor performance, and ensure vendors meet quality standards and compliance requirements.
- Move Coordination: Plan and oversee office relocations, ensuring smooth execution and minimal disruption to day-to-day operations. This includes logistics, resource allocation, vendor management, and the safe relocation of equipment and employees.
- Facilities & Maintenance Oversight: Manage routine maintenance and repairs, as well as coordinate major facility upgrades and renovation projects as needed.
- Long-Term Planning & Flexibility: Balance strategic long-term planning with the ability to adjust quickly to shifting needs and priorities as the company grows and evolves.
- Reporting & Documentation: Prepare and present detailed reports on project status, budget tracking, vendor performance, and other key metrics. Maintain thorough documentation for projects and facilities-related activities.
- Internal Project Management: This role will also include assisting senior leaders in the implementation of cross-departmental projects outside of facilities. This may include developing project plans, manage timelines, and track task completion. Communicate project progress and resolve issues proactively.

- This in-office position is based in our headquarters in San Diego, California.
- Travel to existing and new Hughes Marino office locations as required.
Desired Skills and Expertise
- Strong experience in operations and facilities management, including budgeting, vendor coordination, and overseeing construction projects.
- Strong background in managing cross-functional projects that span different departments, including facilities, IT, and office moves.
- Proven ability to coordinate and manage suppliers and contractors in both facilities management and other operational services.
- Strong leadership and team management skills with the ability to mentor and develop teams.
- Impeccable attention to detail in workflow management, reporting, and operational execution.
- Ability to think strategically while balancing day-to-day operations and the needs of an evolving business.
- Must be willing to roll up their sleeves to make things happen when that's what is needed
- Excellent communication skills (written and verbal) with the ability to present complex information to various stakeholders.
Qualifications
- Minimum of 3 years of operations management experience, including in facilities management and/or construction project management.
- Proven experience in managing budgets, vendor contracts, and facilities-related projects.
- Knowledge of commercial real estate preferred, though not required.
- Strong understanding of safety protocols, building maintenance, and compliance requirements.
- Bachelor's degree required; degree in business, facilities management, construction management, or a related field preferred.
- Proficiency using Microsoft Office programs (Outlook, Word, Excel), and tools like BlueBeam and Microsoft Project.
- Based in San Diego, with the ability to travel to various company locations as required.
- Must live in San Diego.
- Able to carry loads up to 50 lbs, stand and climb stairs in the performance of their work.
Compensation
$75,000 - $90,000, depending on experience
